Duties:
- Process work orders, supplier invoices, purchase orders, expense claims, account payments, and payroll.
- Manage client receivable and vendor payable accounts.
- Maintain a digital record of all financial transactions, documents, and supplier information.
- Process cash receipts and prepare periodic bank deposits.
- Maintain an organized and comfortable office environment, ordering office supplies, and updating inventory.
- Manage changes of staff members' financial and personal information related to payroll.
- Prepare or assists in the preparing of various financial and administrative reports.
- Communicates with clients and staff answering the telephone, checks phone systems, transfers calls, and takes messages.
- Assists in maintaining calendar schedules and appointments and notifies supervisors, managers, and clientele electronically.
- Receives and verifies deliveries to related documents. Sorts and distributes mail to staff. - Attends office meetings and works as a team member. - Files quotes, work assignments, and other general company documents.
- Support supervisors and managers with clerical and receptionist tasks.
- Other duties as assigned.
Experience:
- Proficiency in QuickBooks or similar accounting software
- Proficient in using office equipment such as 10-key calculator, copiers, telephone systems and other office tools.
- Meticulous attention to detail and ability to perform tasks with accuracy and efficiency.
- Excellent analytical skills and financial prowess.
- Good organizational and time management skills.
- Proficient in MS Office Suite (Word, Excel) or Google documents.
- High levels of integrity and ability to handle confidential information.
