Leitner Poma of America is Hiring an Administrative Assistant Near Miami, FL

DescriptionJOB SUMMARYLeitner-Poma of America, Inc. is seeking a passionate, detail-oriented Administrative Assistant to provide administrative support to the Operations and Maintenance department at the Miami Dade Airport. This role will be responsible for screening calls, managing calendars, creating invoices, drafts, memos, emails, and all filing for the department. This is a full-time, hourly position hiring at $19.00-$24.00 per hour based on relevant experience & certifications.

Essential Responsibilities
  • Follow up with department purchases, payroll, CBP reports.
  • Facilitate employee parking decals and company vehicles, AOA decals, vehicle insurance and company umbrella insurance status with AOA.
  • Set up appointments for employee ID badges.
  • Prepare employee expense reports and send them to LPOA Accounts Payable .
  • Coordinate vehicle access for vendors with employee schedules.
  • Assist with availability report and extract the faults and place them into the correct log files.
  • Perform a weekly inventory check, running errands and picking up supplies as needed.
  • Proof read work orders, checking each for completeness and updating text as necessary.
  • Create log to be placed at the different equipment rooms where daily inspection occur.
  • Create temperature log book for the drive motors and gearbox.
  • Print all work orders each week and assign to specific individuals.
  • Act as onsite Training Coordinator to make sure all required training, testing and documentation is performed to be compliant with TRA and MDAD requirements.
  • Provide new hire orientation power point, benefit information, and proper new hire paperwork.
  • Follow up with new hires when nearing 90 days to enroll in health insurance.
  • Partner with HR in Grand Junction for Health Insurance/Benefit information questions and enrollment.
  • Performs other duties as assigned.
RequirementsBASIC QUALIFICATIONS
  • High school diploma or GED equivalent.
  • Previous Administrative Assistant and/or HR experience required.
  • Knowledge of principles and practices of basic office management.
  • Knowledge of clerical and administrative procedures.
  • Permanent Resident or Citizen of the United States of America.
  • Proficient in the English language.
Desired Qualifications
  • Previous bookkeeping, accounting and billing experience is a plus.
