LEGOLAND Parks is Hiring a Retail Administrative Assistant-Buying Near Carlsbad, CA

Roles & Responsibilities

Scope of Job:

This role is responsible for supporting the LLC Retail Buying Team. This is to include, but is not limited to: data entry, matching and requesting invoices in support of NetSuite, processing reports, communication with buyers and the park warehouse, visual merchandising and retail teams.

Key Objectives:

1. Provides support for LLC Retail Buying Team for various administrative duties.

2. Maintains data in multiple retail inventory purchasing and point-of-sale systems.

3. Provides report data to Retail Buying team and Vendors on both a set schedule and ad hoc basis.

4. Communicates product assortment and pricing changes with Operational teams, RSA’s, Visual teams, and/or Allocators.

5. Communicates and problem solves with Retail Ops, Visual Merchandising and Warehouse teams.

6. Assists Retail Buying Team in other duties as assigned.

Main Responsibilities:

1. Administrative

· Complete assigned tasks in support of Buying Team on timely basis, with high accuracy

· Maintain products and PO’s in multiple retail inventory management systems

· Provide reports and analysis to Buying Team using inventory management systems, Excel, Teams and other systems

· Communicate with Warehouses, Visual Merchandisers, Park Ops teams regarding all retail product-oriented questions

2. Financial

· Responsible for assisting Buying Team in accurate data entry for systems.

3. People

· Assists Retail Buying team as appropriate.

· Adheres to policies and procedures.

· Maintains high levels of confidentiality and complies with LEGO non-disclosure agreements: verbal, in-person and electronic.

· Promotes and demonstrates LEGO’s and Merlin’s SOPs, culture and core values through words and actions.

· Continues own growth through utilization of career development programs in collaboration with Head of Buying.

· Possesses strong interpersonal skills and be able to perform well under pressure.

· Able to work confidently with a variety of leadership styles.

· Able to work independently, with strong time-management skills.

4. Health & Safety

· Managers/Supervisors/Leads/Coordinators are responsible for all aspects of Health, Safety & Security within their team, in line with the Group Policy (HS001). In particular, they must ensure that risk assessments safe working procedures are in place for all work activities and that all employees in their teams are aware of the Group Health, Safety and Security Policy and their obligations under it. They must ensure that safe working practices are monitored and that risk assessments and procedures are reviewed regularly. Where incidents do occur, they must ensure that they are investigated appropriately and that where necessary, corrective action is taken to ensure that such incidents are not repeated.

· Employees are responsible for the safety of themselves, their colleagues and guests (where appropriate), in line with the Group Policy (HS001) and the law. In particular, they must ensure that they follow safe working procedures for all work activities that they undertake and they must not use any tools or equipment for which they have not been trained. Where incidents do occur, they must ensure that they are reported to their line manager and must cooperate with any investigation as appropriate.

5. Other

· May be assigned other activities and responsibilities within the Retail Department as needed

Qualifications & Experience

Background and Experience:

Requires one - two years of experience in Retail. Experience in theme park merchandise is preferred. Knowledge of point of sale automated systems is required. Ability to work effectively with others and excellent verbal and written communication skills required. Must work well independently and have strong time-management skills. Strong, accurate and efficient computer skills are critical to success, including Excel, Teams and inventory management systems.

Education: High school diploma or general education degree (GED); College degree preferred.

Physical Demands:

Ability to sit for sustained periods of time to attend on-site and off-site meetings, perform paperwork activities, travel and drive.

Intermittent and prolonged standing and walking to move about the park site, and interact with employees.

Finger dexterity sufficient to complete paperwork activities and to use a computer.

Visual acuity sufficient to read written materials, to complete paperwork activities, and to drive.

Hearing sufficient to communicate with individuals in person and by telephone.

Work Environment:

Various inside and outside locations with varying temperatures and floor surfaces.

Other Job Requirements:

Must be willing to work flexible hours in support of Buyers in multiple time zones.

Must possess strong computer skills and demonstrate proficiency in using Windows 10, particularly Excel.
