    ADMINISTRATIVE ASSISTANT FOR STUDENT SERVICES

    LOCATION: District Office
    CHARACTERISTICS: Full Time, non-certified
    QUALIFICATIONS: High School Diploma or equivalent
    REPORTS TO: Director of Student Services

    EVALUATION:Evaluated annually by Director of Student Services as assigned and in accordance with provisions of the Board of Education Policy on Evaluation of Personnel.
    OVERVIEW OF THE POSITION

    To assure the smooth and efficient operation of the student services department office in support of services to children and their families.

    RESPONSIBILITIES/DUTIES

    ESSENTIAL JOB FUNCTIONS:
    • Support the Director of Student Services with the completion of tasks in the special education office
    • Proactively support the Director of Student Services with meeting coordination and communication
    • Ensure timely submissions of special education data to the Illinois State Board of Education for purposes of required record-keeping and reimbursement
    • Work to comply with state reporting requirements for annual reports including, grant administration, and early intervention reporting.
    • With teaching staff, send meeting notices in compliance with IDEA and 504 laws.
    • Assist administrative staff in the administration of student records in compliance with FERPA, ISSRA, and other applicable laws.
    • Assist on student records duties, create and maintain student files
    • Maintain entries in Embrace, SIS, iStar and other databases.
    • Assist staff with the management of the IEP database (e.g., enter new users, troubleshoot)
    • Be aware of all special education students within the district. Maintain spreadsheet with student information (School sites, special education teacher, annual/ triennial IEP due dates, any special notes).
    • Maintain Medicaid billing database
    • Coordinate with the high school district to schedule high school transition meetings for 8th grade students
    • Work with the Director of Student Services on parent and community communications, creation of flyers and postings
    • Family Action Network Liaison
    • Other duties as assigned by the Director of Student Services
    QUALIFICATIONS:
    • Computer proficiency (databases, email, Google functions, excel spreadsheets, website, Internet, etc.)
    • Excellent organizational and time management skills.
    • Advanced keyboarding skills.
    • Excellent telephone and clerical skills.
    • Ability to independently manage processes and projects.
    • Excellent communication and interpersonal skills.
    • Demonstrated ability to maintain confidentiality as appropriate and required.
    • Administrative assistant experience preferred.
    • Bilingual Spanish preferred.

    REQUIREMENTS

    • High School Diploma or equivalent

    • Specific vision abilities required by this job include close vision, and the ability to adjust focus. In addition, the ability to withstand long-term use of computer monitors is required.
    • The employee may occasionally lift up to 20 pounds independently.
    • The position requires meeting deadlines with unyielding deadlines, interacting with the public and staff.
    • Frequent typing is required.
    • The employee must be able to read, understand, and provide direction.
    • The employee must be able to respond to emergencies.
    WORK ENVIRONMENT:
    • The noise level in the work environment is usually moderate. However, on occasion, the noise level will be high.
    • The employee shall frequently use personal computing skills with web browsers, databases, software, spreadsheets, and word processing.
    • Work is usually conducted indoors.

    TERMS OF EMPLOYMENT
