KSI is Hiring an Executive Administrative Assistant Near CEDAR RAPIDS, IA

Beams, LLC is seeking a dynamic and highly organized Executive Assistant to join our team in Cedar Rapids, IA. As an Executive Assistant, you will provide and assist with essential administrative support and project coordination, ensuring the smooth operation of daily activities and contributing to the overall success of our organization.

The desired candidate must be self-motivated with the ability to work independently and anticipate needs. This position requires a high energy, positive, and very bright person who can multitask, take initiative and be a self-starter. Must be able to work under pressure and handle a wide variety of activities and confidential matters with discretion.

This position is located at the Cedar Rapids office to be worked on-site from Monday - Friday within the hours of 8 am - 5 pm. There is room for some flexibility within those time frames for the agreed upon hours. This is a great opportunity to join in a growing organization with room for growth in your role!

Responsibilities:

  • Screen and direct phone calls, emails, and other correspondence to appropriate parties.
  • Responsible for all incoming and outgoing mail including timestamping, sorting, prioritizing and shipping of materials.
  • Draft and prepare documents, reports, and presentations.
  • Make travel arrangements including flights, accommodations, and itineraries for executives.
  • Manage executives' calendars, schedule appointments, and coordinate meetings.
  • Assist finance team with basic accounting functions as needed.
  • Handle expense reports, manage office supplies, and maintain filing systems.
  • Assist with special projects as assigned by executives, which may involve research, data analysis, and coordination with other team members.
  • Handle sensitive information with discretion and maintain confidentiality.
  • Address issues and inquiries on behalf of executives, finding solutions to problems as they arise.
  • Proficiency with office software such as Microsoft Office Suite, as well as familiarity with scheduling and communication tools.
  • Prioritize tasks, manage time effectively, and adapt to changing priorities in a fast-paced environment.
  • Exemplify professionalism in all interactions, representing the executives and the organization in a positive manner.

  • Proven experience as an executive assistant or similar role.
  • Strong communication, organizational, and problem-solving skills.
  • Ability to prioritize tasks and manage time effectively.
  • Proficiency with office software and scheduling tools.
  • Adaptability to changing priorities and a fast-paced environment.
  • High level of professionalism and discretion.
  • Excellent interpersonal skills and ability to build relationships with stakeholders.
  • Ability to work independently and as part of a team.
