King County Department of Public Defense (DPD) is hiring a dynamic and detail-oriented Administrative Specialist I to provide general administrative support which includes data entry, maintaining and archiving records, and typing and/or word-processing documents within the Director's Office. The Administrative Specialist I can switch gears at a moment's notice, will work effectively with people from diverse backgrounds and work under the direction of the Records Specialist. DPD is looking to fill one (1) Term-Limited Temporary (TLT) position expected to last up to 12 months.

The ideal candidate will be:
  • Skilled in and knowledgeable of general office procedures, equipment, and administration.
  • Skilled in time management and organization skills.
  • Able to maintain confidentiality of sensitive matters.
  • Able to perform high volume data entry.

Job Duties

ESSENTIAL JOB FUNCTIONS AND DUTIES include but are not limited to the following:
Administrative Support:
  • Perform general office functions such as answering phones, photo copying, e-mailing, and processing/distributing/routing incoming and outgoing mail.
  • Compose, draft, type, proofread and edit documents.
  • Maintain security and confidentiality of highly sensitive communications.
  • Perform high volume data entry using word processing, spreadsheets, databases, and other computer software.
  • Review data for errors and missing information and resolve discrepancies through research.
  • Prepare, scan, and organize closed client and court files for archiving.
  • Ability to move and transport departmental records.
  • Assist with special projects as needed and perform other duties as assigned.

Experience, Qualifications, Knowledge, Skills

Required Qualifications:
  • Increasingly responsible office or administrative support experience with a group or team of professional staff.
  • Strong written and spoken communication skills.
  • Experience maintaining confidentiality, while sharing the right information with the appropriate people.
  • Experience with high volume data entry or equivalent training.
  • Comfortable working independently with minimal supervision.
  • Have a valid Washington Driver's License or ability to travel to required destinations around King County.
  • Lift/move up to 30-pounds.
Knowledge Of:
  • Basic accounting and mathematics.
  • Operating standard office equipment including personal computer, copier, fax machines and multi-line telephone.
Ability To:
  • Type a minimum of 40 WPM.
  • Demonstrate comfort with the use of Microsoft Excel, Microsoft Word, email, and electronic record filing systems to create correspondence and send and receive information.
  • Demonstrated ability to maintain a professional demeanor and provide timely and reliable customer service.
  • Be detail-oriented, organized, and use initiative to solve problems.
  • Maintain confidentiality, while sharing the right information with the appropriate people.

WORK SCHEDULE AND LOCATION:
This is an in-person position, reporting to the Director's Office located at Dexter Horton Building, 710 Second Avenue, Seattle.
Rotations of work location and practice area and/or workflow are an essential function and can occur based on business need.
The typical workweek is 40 hours per week, Monday through Friday, 8:00 a.m. to 5:00 p.m. This position is non-exempt from the provisions of the Fair Labor Standards Act and is eligible for overtime.
