Keller Williams Real Estate is Hiring a Receptionist/Office Assistant Near Langhorne, PA

Job description

At Keller Williams Real Estate Langhorne, the Director of First Impressions is an integral part of our growing real estate brokerage. The ideal candidate possesses the capability to interact with clients, has advanced computer skills and a proven ability to see tasks through to completion. Integrity, confidentiality, maturity and a pleasant demeanor is a must for this office team. As part of our leadership team, this person will play a key role in both the on-boarding and retention systems for the agents in our market center and will help agents acclimate to our systems, tools and technology. The candidate must have a deep desire to help others. The successful candidate will be energetic and a flexible self-starter with a positive, take-charge attitude who enjoys working in a team environment and will make this position their own to take our brokerage to the next level.

Responsibilities include but are not limited to:

Front Desk Operations: 50%

  • Cheerfully and promptly answer all incoming phone calls and welcoming all office guests (shared responsibility with our branch office)
  • Serve as gatekeeper for all solicitors (phone/walk-ins)
  • Receive and sort mail, deliveries, and faxes
  • Maintain appearance of office lobby, conference rooms and training room
  • Assist with the creation and execution of the agent training calendar
  • Review associate transaction paperwork for office compliance
  • Assist with promotion of upcoming office and regional events and trainings
  • Take charge of event and party planning for monthly office events
  • Assist in the management of the office by providing support and feedback to the Market Center Administrator, Team Leader and Productivity Coach on all matters affecting the productivity and operation of the Market Center

Administrative Support: 50%

  • Maintain the Team Leaders database of potential new hires
  • Generate monthly reports for leadership team
  • Invoice agents monthly
  • Ordering office supplies as needed
  • Maintain office equipment
  • Complete a variety of other administrative tasks including processing bills/payments, assisting with copying, filing, binding, deposits

Ideally, the Director of First Impressions has the following traits:

  • A positive, friendly attitude and cheerful personality
  • Must be able to proactively handle challenging people and/or situations
  • An ability to display grace and professionalism and a deep desire to help others
  • Willing to gain knowledge of and implement Keller Williams Systems and KW Culture
  • Strong verbal and written communication skills
  • Ability to manage and prioritize multiple assignments and projects
  • Proficient with Microsoft Office products, Google Suite, Canva, and MailChimp

Qualifications to be considered:

  • Prior office administrative, real estate and/or receptionist experience a plus
  • Cannot currently hold a PA or NJ Real Estate license
