The Position
Kaufman, Hall & Associates, LLC, is seeking a Payroll Specialist to join the Accounting team. In this role, the person will:
  • Process semi monthly employee payroll on time and through the appropriate channels using ADP Workforce Now
  • Complete all HR reporting documentation
  • Updates payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions
  • Calculate and deduct appropriate amounts from payroll checks, including tax withholdings and other garnishments
  • Maintains payroll guidelines by writing and updating policies and procedures
  • Complies with federal, state, and local legal requirements by studying existing and new legislation related to payroll
  • Determines payroll liabilities by approving the calculation or employee federal and state income and social security taxes
  • Oversee internal payroll and accounting audits as required
  • Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices
  • Own the reconciliation of the balance sheet accounts for withholdings and benefits
  • Manage the Form 5500/401k Financial Statements
  • Allocation/coding of benefit invoices
  • Lead the budget to the actual management and variance of payroll accounts
  • Undertake projects as needed and directed to improve processes and procedures
  • Perform ad hoc assignments as needed
Qualifications
The ideal candidate will possess:
  • 3 or more years processing payroll with ADP Workforce Now
  • Ability to maintain privacy and confidentiality
  • Proven ability to hit deadlines
  • Keen attention to detail and organizational skills
  • Ability to function effectively both independently and as a member of a team
  • Self-motivated, with a proven ability to learn quickly and work effectively in an evolving work environment 
  • Strong written and verbal communication skills
  • Applicants for employment must have work authorization that does not now or in the future require sponsorship of a visa for employment authorization in the United States and with Kaufman Hall (i.e., H1-B visa, F-1 visa (OPT), TN visa or any other non-immigrant status).
Education: Bachelor’s degree required
Physical Requirements 
  • Must be able to perform essential duties satisfactorily with reasonable accommodations.
  • Work is generally done sitting, talking, hearing and typing. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.
Work Environment 
  • Travel Required: None
  • The role is based in Chicago with the expectation to be in the office a few times per week.
  • Work is regularly performed in a combination of in office and home office settings, and routinely uses standard office equipment.
