Boston Harbor City Cruises is seeking an Administrative Assistant for our operation in Boston, MA About You: This person will be adaptable, dynamic, and embody City Experiences' RESPECT Service System. About the Opportunity: It is the responsibility of the Administrative Assistant to provide administrative support to the port operations, both marine and land based. Essential Duties & Responsibilities:
Responsible for the upkeep and organization of logs, forms, and paperwork on all vessels and in all
Assist with training, payroll, scheduling, and other tasks regarding marine and land-based operations.
Assist with all front-line ticket staff and seasonal dock staff, including but not limited to hiring, training, and scheduling.
Oversees inventory, including but not limited to uniforms, office supplies, and general
Assist with tracking orders and receivables
Various administrative tasks during Department meetings, including but not limited to taking meeting minutes and following up on action
Responsible for the upkeep of vendor lists for parts and suppliers
Accurately complete all documentation on a timely basis, including but not limited to payroll, time sheets, revenue reports, paperwork, and invoices.
Able to maintain a firm grasp and utilize all relevant internal policies and external regulatory requirements
Works with cash room manager to distribute banks and ticket inventory
Create port specific reports required by local contracts.
Oversees collection of banks and POS reports from the vessels and ticket booth.
Additional job duties assigned
Requirements & Qualifications:
At least 2 years of experience in administrative tasks
High school diploma or equivalent preferred
Have a working knowledge of computer skills, including but not limited to proficiency with Microsoft Office Suite
Familiarity with Maritime industries is preferred
Energetic and enthusiastic personality is essential
Must be able to take direction
Must be able to effectively understand and convey written and verbal information to coworkers and guests
Must possess a service orientation - actively looking for ways to help others
Must be able to work for extended periods without sitting
The nature of the work may be strenuous and the work environment may be warm
Required to lift and move heavy items
Will be required to be available for work on nights, weekends, and all major holidays
