Position Summary:

The Annual Fund Manager works with the museum Development team to manage JANM’s Annual Fund (Annual Benefit, membership, donor appeals, and communication), and develop and implement a comprehensive donor stewardship plan that engages current and prospective major donors.

The Annual Fund Manager is responsible for the overall design and management of JANM’s Annual Fund and individual opportunities to meet the institution’s revenue goals. They will create a framework for an Individual Giving Program that will target donors who can make gifts within the range of $500 to $2,500 annually.

This will include small and large-scale membership and donor events (in-person, hybrid, and online). This role will include a central project management role working to communicate and execute within event timelines; complete event marketing and production tasks; and proactively communicate and coordinate fundraising tasks with the Development team. In addition, the Annual Fund Manager will work with Development and the Marketing & Communications staff to develop and implement an annual donor communications strategy to steward and cultivate current and potential donors.

Essential Duties and Responsibilities

Annual Museum Benefit Event (30%)

Lead all efforts to plan and execute the event in coordination with Museum leadership, Development team, and consultants to meet the goal for the benefit. Responsibilities include but not limited to:

  • Coordinate strategy with gift officers and volunteers, to manage, engage, solicit, and follow up with event sponsors.
  • Manage all print and online materials related to the event in coordination with headquarters, events, marketing teams, and local Development leadership.
  • Support volunteer leadership, including tracking guests, invitations, and recognition.
  • Maintain vendor relationships, event budget, and vendor payments.
  • Coordinate and communicate staff and volunteer assignment of event duties.
  • Manage event program content and provide on-site leadership and coordination for the day of the event.
  • Develop and manage a budget for annual Benefit dinner.

Campaign and other events (30%)

  • Oversee and direct donor-focused events (campaign, membership events, corporate engagements, solicitation, and cultivation dinners) that deepen donor engagement and stimulate revenue growth.
  • Coordinate all event logistics including print and online communications, vendor assignments and contracts, venues, catering, event materials, table assignments, registration, event show-calling, and follow-up strategies.
  • Report progress and assignments to internal and external stakeholders in a proactive and professional manner.
  • Develop and manage budgets related to smaller-scale development events.

Communications and Stewardship (20%)

  • Design Development’s Campaign and donor communications materials (print and digital).
  • Develop and implement an annual major donor communications strategy aimed at current and potential donors.
  • Highlight and communicate different aspects of the Museum’s impact.
  • Write base copy for mailings, invitations, and other donor-facing collateral.
  • Work with Development, data management, and marketing communications team to set goals and measure progress of various communications strategies and vehicles.
  • Track and organize highlights and stories from various departments, and donor stories and testimonials that can demonstrate JANM’s work and impact.

Membership and General Development Support (20%)

  • Provide oversight of JANM’s Membership Program, including supervision of JANM’s Membership team.
  • Oversee membership acquisition & retention including direct mail, online, onsite sales, communications & events.
  • Ensure that membership revenue and subscription targets meet goals and deadlines. Implement strategies to maximize retention, acquisition, and upgrades.
  • Make presentations for staff and leadership regarding membership activity as required.
  • Develop acquisition and retention strategies and promotions.
  • Oversee lapsed member appeals utilizing creative approaches to maintain the interest and support of members.
  • Oversee all membership communications, including but not limited to monthly member e-newsletters, member renewal letters and emails, and acknowledgment letters.
  • Analyze member data to determine appropriate strategies for member retention, upgrade, and new member acquisition.
  • Help to develop and enhance process and structure in membership staff work.
  • Provide overall support to efforts of the Development team including thank you letters and calls, donor follow-up, and other duties as assigned.
  • Staff members must be able to work with visitors of all ages to support the various events sponsored by JANM. Each staff member will be expected to work on a minimum of three museum-wide events per year:
    • JANM’s Benefit and Online Auction—(off-site) typically held in the Spring (April-May)
    • Oshogatsu Family Festival (first Sunday in January)
    • Natsumatsuri Family Festival (Saturday in August)

Qualification Requirements

Education

Bachelor’s degree preferred; or an equivalent combination of education and development experience.

Experience/Knowledge

At least 6 years of successful fundraising and/or events management experience are required. Creative, organized professional with demonstrated team-based fundraising success. Experience working at a nonprofit or museum with volunteers desired. Proven, successful project management and relationship-building skills. Proactive self-starter able to work both individually and as a member of a team. Ability to manage multiple needs and assignments in a fast-paced, nonprofit setting. Familiarity with local nonprofit and educational communities is preferred. Excellent organizational skills and be detail-oriented. Strong proofreading skills. Professional phone manner is essential. Demonstrated commitment and flexibility in order to ensure a high level of quality service. Ability to adjust and provide appropriate action when an unanticipated need arises. Familiarity with Little Tokyo Community and Japanese surnames beneficial. Knowledge of Japanese American/Asian American history and culture is preferred.

Communication

Has excellent communication and negotiation skills. Genuine commitment to the mission of the museum and ability to articulate the importance of the organization's work. Must be able to provide courteous and effective service to co-workers, volunteers, and the general public. Is able to read, write and comprehend routine reports and correspondence, including safety rules, operating and maintenance instructions, and procedural manuals. Is able to effectively present information in a one-on-one, small group format and large group format.

Computer

Is computer literate, Internet-savvy, and experienced with MS Office and Google Suite; experience with Altru or similar CRM database. Accuracy and attention to detail are essential.

Math

Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume.

Reasoning

Ability to act on own initiative, making consistently sound decisions. Must be able to comply with institutional policies and procedures. Ability to perform effectively under conditions of fluctuating workload. Ability to plan and manage tasks according to firm deadlines, clearly communicate delays, and respond to request in a timely manner. Ability to make practical decisions and solve problems, adapt to change, and communicate effectively. Ability to carry out instructions furnished in written, oral, or diagram form and articulate challenges and request support where needed. Reliable follow-through on assigned projects in a complete, well-conceived, and timely manner.
