The Operations Administrative Assistant provides support to the Operations and Manufacturing Team under the direct supervision of the VP/COO and Director of Operations. Performs general clerical and administrative tasks that may be requested by team members to complete projects efficiently and on time. Such tasks include organizing and maintaining files, creating timeline charts, drafting correspondence, scheduling appointments, preparing reports, placing orders, inventory of supplies, etc.
This position is a combination of remote and onsite work, mainly M-F 8am-5pm. Candidate must be flexible to working off-hours and traveling up to 40% of the time, sometimes with minimal notice to support the projects. This position is entry- or mid-level with the opportunity to grow within the organization.
Location: Remote, Travel up to 40% of the time in the Greater Los Angeles Area.
Role Responsibilities:
· Perform administrative duties and clerical tasks as required or requested by the Operations Team.
· Create, enter information, and maintain daily spreadsheets for all projects.
· Compose, type, and distribute meeting and conference call notes,
· Complete routine reports, such as expenses, as needed.
· Assist in placing orders of supplies, as needed.
· Confirm appointments and status for deliveries of ordered supplies.
· Coordinate meetings and special events, such as luncheons or employee events.
· Organize and sync operations information and data across all files and systems.
· Organize and maintain all records.
· Specialized project work as needed.
Qualifications and Competencies:
· Detail-Oriented
· Proficient with MS Office tools (Excel, Word, PowerPoint).
· Collaborative with good interpersonal skills
· Able to prioritize workload with exceptional time management and planning
· Highly ethical behavior and maintain confidentiality
· Strong critical thinking and analytical skills.
· Excellent verbal and written communication skills
· In-depth knowledge or strong passion for the industry
· Familiar with general clerical and administrative tasks
· Self-driven and motivated
· Flexible to work long hours and weekends where necessary
· Able to work efficiently with minimal supervision
· Able to stand, walk and move around for long hours at a time. Occasionally required to lift supplies up to 45 pounds.
· Access/own a personal laptop computer and reliable internet connection all day to WFH.
· Access/own a personal cell phone with domestic calling and messaging capabilities.
· Access/own a reliable means of transportation for travel and transportation of goods when needed.
Education:
· High school diploma or equivalent
· Bachelor’s degree a plus
