Job Overview:
The Administrative Assistant works 15-20 hours per week and is responsible for monitoring patient charts for therapist and supervisor compliance, processing records requests, updating chart information as needed. The role requires strong knowledge of Electronic Health Records systems, MS Office, and ICP policies and procedures. The Administrative Assistant will report to senior administrators and will collaborate with administrative staff and 1099 contractors (contractors in this context are: candidates, therapists, and supervisors).
Responsibilities (% breakdown):
- 50%: Patient Records Compliance
• Runs reports to review chart compliance
• Contacts therapists and supervisors who are non-compliant
• Monitors overdue chart compliance and follows up weekly with non-compliant therapists and supervisors
• Follows up with Executive Director and Division Directors about consistently non-compliant therapists and supervisors for further actions
- 30%: Patient Chart Management
· Processes Records Requests
· Reviews charts for insurance audits
· Processes and monitors all updates to patient charts in the electronic health record
· Answers emails, fields questions, supports and assists all clinicians in all chart documentation questions.
· Supports therapists and supervisors in a variety of administrative tasks
- 20%: Continuing Education Processing
· Creates and distributing continuing education certificates
· Tracks eligibility for continuing education credits
· Liaises with Program Manager/Coordinators post-workshop/event
Qualifications & Key Competencies:
· Proficient in electronic health records and MS Office
· Strong written and oral communication skills
· Detail-oriented
· Time management skills
· Customer service skills
Education:
• Bachelor’s degree
Experience:
• 2 years of work experience, preferably in mental health field
• EHR experience a plus
