What will you do?

The Executive Assistant will provide a full range of administrative support to manufacturing advancement leadership at a high level of accuracy. Duties & responsibilities will include but are not limited to the following:

  • Manages communications for the Executive Vice President, Vice President of Strategic Initiatives and Chief Operational Officer’s offices to ensure appropriate contacts and excellent communication to all IALR stakeholders
  • Performs clerical work and provides support to Vice Presidents, Directors and Managers with departmental projects, data management, and other duties
  • Prepares requisitions for departmental purchases per the IALR small purchase policy
  • Manages the Manufacturing Advancement calendar, ensuring all schedule meetings, tours and events are included and the team has access to review
  • Works with President’s office to support communication for the administrative personnel of Government officials regarding protocol for appearances; participates in the preparation of the Event Briefing Information form that is required for each visit (i.e. Secretary of Veterans and Defense Affairs, Craig Crenshaw, etc.)
  • Receives and screens visitors and telephone calls, making appropriate referrals and answering questions
  • Coordinates meeting dates and locations for Manufacturing Advancement leadership team as requested and support administrative/logistical needs
  • Plans and coordinates internal meetings with staff
  • Coordinates and orchestrates meeting needs with the conference center team
  • Prepares minutes and takes follow-up action as needed
  • Coordinates and manages travel requirements for all Manufacturing Advancement leadership and staff including hotel reservations, flight reservations, car rentals, shuttle services, registrations, and confirmations
  • Provides ongoing customer service support at the Front Desk Specialist of Hawkins Building to support the Security team
  • Provides facilities-related support to the Manufacturing Advancement team in partnership with the IALR Facilities Maintenance team.

We are looking for staff to work onsite in Danville, VA.

What do you offer?

  • Associate’s degree, and/or a minimum of five years related experience required; Bachelor’s degree preferred
  • Proficient with Microsoft Office products
  • Ability to maintain complete confidentiality is mandatory
  • Advanced knowledge of office administrative practices and procedures is preferred
  • Ability to organize, set priorities, take initiative and exercise sound and independent judgment within areas of responsibility is necessary
  • Attention to detail and the ability to organize, multi-task, maintain focus, and follow up on projects independently is essential to be successful in this position
  • Ability to maintain a dependable and flexible work schedule is a plus
  • Ability to interpret, apply, explain and reach sound conclusions in accordance with regulations, policies and procedures is desirable
  • Highly developed interpersonal skills with the ability to use tact and discretion in dealing with sensitive situations and concerned internal and external customers is a necessity
  • Strong oral and written communication skills is required
  • Ability to work independently and prioritize work assignments among conflicting demands is required
  • Ability to cope with change and ambiguity, is self-directed and motivated, recognizes and acts upon needs, and possesses a commitment to his/her own learning and self-development
  • Skill in problem solving and decision making is preferred
  • Must have a valid driver’s license and be able to travel throughout Virginia as well as occasional out-of-state trips


Physical Requirements:

  • Sits for long periods of time while completing duties
  • Must be able to move freely between facilities
  • Must be able to operate and manipulate a keyboard


What IALR Offers
