U.S. Environmental Rental is Hiring an Operations Coordinator Near Waltham, MA

Operations Coordinator Overview:

The Operations Coordinator position at U.S. Environmental is a dynamic position that implements, executes, and/or oversees many of the daily business activities as well as assigned special projects. The Operations Coordinator reports to the Chief Operations Officer and works with every department of the business including, but not limited to, Accounting, Human Resources, Purchasing & Inventory, Operations, and Executive Projects. The Ops Coordinator will work closely with our management staff and occasionally the employees throughout our five national offices.

The Ideal Candidate:

The ideal candidate will be highly organized, motivated, and creative. It Is not uncommon that this person will face complex and multi-faceted problems with short deadlines. Therefore, a persistent attitude with a results-oriented mindset is imperative. The ideal candidate will also be personable and able to effectively communicate up and down the chain of command. Additionally, the Operations Coordinator will need to occasionally address our clients and vendors and therefore must be able to represent the company's interests in a professional manner.

Responsibilities:

Examples of responsibilities may include but are not limited to:

  • Coordinate the onboarding of new employees with HR, which includes:
    • Placing employment requisitions.
    • Conducting background and MVR checks. Issuing offer letters and onboarding within iSolve.
    • Trigger IT to provide the new hire with email, Phone, and Alert log-in credentials.
    • Pass off the new hire to the respective Site Director for training relative to their position.
    • Provide the new employee with company information and policies.
    • Periodically review censuses to ensure new employees have been enrolled in company-provided benefits such as Life Insurance, AD&D and STD.
    • Periodically review censuses to ensure new employees have enrolled or declined optional benefits such as 401k, Medical, Dental and Vision insurance.
  • Remove terminated employees from benefit rosters as required.
  • Periodic review of Cobra enrollments.
  • Update HR manual as policies are refined during weekly corporate staff meetings.
  • Assist Site Directors with employee development and disciplinary actions.
  • Receive & process general HR emails internally as well as for outside agencies, such as state UI.
  • Inform employees of company news and upcoming dates such as open enrollment for benefits.
  • Audit both consumable and physical inventories conducted by Site Directors.
  • Manage and review office spending with Site Directors. Apply cost-saving measures as appropriate.
  • Determine equipment needs and purchase new assets when appropriate.
  • Back-Up buyer as needed. Learn PO placement and receiving protocols.
  • Review and correction of discrepant PO's.
  • Learn our Stampli (Automated AR system) processes and ensure buyer compliance.
  • Delegation and Management of C.O.A. and factory calibration documents.
  • Participate in Hunt Group Meetings. (Meeting to review missing assets.)
  • Run a Bi-Weekly Purchasing and Consumable Inventory Meeting, which includes:
  • Review of open Purchase Orders- status, aging, and credits.
  • Update vendor pricing in Alert and update USE's sell price as applicable.
  • Spot check and remedy equipment under maintenance.
  • Review and update our employee roster as needed.
  • Assist with our Safety program, which includes:
    • Safety trainings for new hires
    • Workman comp policies
    • Accident/Investigation Reporting
    • Update Safety 101 active members list.
    • Update Safety training videos as they happen. Ensure new employees have watched them.
    • Follow-up on safety submissions, resolve issues and distribute new policy or protocols as necessary.
  • Ensure pricing updates are reflected in new catalogs and websites.
  • Update vendor pricing sheets and correlated contact list with discounts published on Teams. Make sure all current vendor pricing is also available on Teams.
  • Reconciliation of sub rented assets in Alert & with vendor's invoices.
  • Reconcile any invoice or Alert PO that does not match. Collect revised invoice if necessary.
  • Add, remove, or deactivate fixed assets in our rental software platform.

Travel Requirements & Compensation:

The Operations Coordinator position will need to periodically travel to our other offices located in CT, IL, FL, and NJ. The position works out of our Corporate Office in Waltham, MA.

$65,000 annual salary. USENV offers Medical, dental, and vision benefits, free life insurance, and a 401k plan.
