JOB SUMMARY:

This Associate will assist Associates with all aspects of human resources on a daily basis and provide seamless customer service to our Associates. The HR Coordinator will manage the on-boarding and off-boarding process, manage community service initiatives, as well as support the VP of Human Resources in administrative and special projects as needed.

KEY RESPONSIBILITIES:

  • On-boarding
    • Work with the Talent Acquisition Team with on-boarding all new US and Canadian Associates
    • Coordinate new hire paperwork, offer letter, drug screening, and background checks
    • Ensure that all new hire paperwork and screenings have been completed prior to start date
    • Coordinate with IT to have equipment ready for the new hire’s first day
    • Upload new hire information into HRIS, LMS, and IT systems
    • Work with the Talent Acquisition Team and the Benefits Analyst to coordinate new hire orientation
  • Off-boarding
    • Work with the Senior HR Generalist on all Associate terminations, resignations, and off-boardings
    • Coordinate with payroll and the Benefits Analyst on the Associate’s final pay and benefit notifications
    • Coordinate company property and equipment return with the Associate and IT
    • Send out the electronic exit interview and ensure it has been completed prior to their departure
    • Ensure all IT and ADP access is terminated and email forwarding and automatic replies are set up
  • Community Outreach and Holiday Gift
    • Manage the community outreach program for all US and Canadian offices
    • Coordinate all charity donations firm-wide by creating communications, coordinating with charitable organizations, collecting donations, and processing the payments with accounting.
    • Manage the Holiday Gift Coordination process with intake of gift selection form, gift tracking, shipment
  • Safety Coordination
    • Manage the safety process for the Corporate location
    • Assign safety captains and breakout floor into safety sections
    • Create annual safety packet for all safety captains
    • Work with building management to coordinate safety drills
    • Coordinate onsite safety training, such as CPR training and active shooter drills

REQUIRED SKILLS:

  • 2-3 years in an HR role preferred but not required.
  • HRIS experience: applicant tracking systems (Taleo), payroll (ADP) and benefits platforms preferred
  • Strong Microsoft Office suite skills as well as experience with publishing technology
  • Excellent writing, correspondence skills
  • Excellent interpersonal and rapport-building skills
  • Ability to effectively present information and respond to questions from audiences at all levels of the organization
  • Ability to multitask in a fast-paced environment and adapt to shifting priorities

EDUCATION QUALIFICATIONS:

  • Bachelor’s degree
