The Executive Assistant to the President manages the President’s Office, supports all aspects of the work of the President of the College and the Board of Trustees, and serves as a liaison between the President's Office and internal and external constituencies. Embodying the philosophy of enlightened hospitality, the Executive Assistant projects a positive, professional image in representing the President's Office and Illinois College. Essential Functions:
The following list of duties is meant to be representative of the work performed in this position. The omission of a specific duty or responsibility will not preclude it from the position if the work is similar, related or a logical extension of position responsibilities.
  • Manage operations of the President's Office, including the President’s daily schedule and related activities (e.g., preparation for meetings, travel plans), the operating budget, a broad range of communications and correspondence, and interactions with internal and external constituencies
  • Support the work of the Illinois College Board of Trustees, including organizing all materials for Board and Committee meetings (e.g., preparing minutes and other materials, managing the online Board portal); facilitating communication with Board members; and coordinating meeting logistics through collaborating with Campus Events, IT, and others as necessary
  • Support the work of the Board Officers and Governance Committee Chair, and maintain official documents in collaboration with the Illinois College Archives
  • Collaborate with executive and senior leaders to track achievement of institutional goals
  • Support the President’s fundraising and stewardship activities (e.g., execute, manage, and track communications and correspondence)
  • Manage the President's Residence (Barnes House) and events held at the residence in partnership with Campus Events and Facilities Management
  • Partner with the Provost and Dean of the College and Executive Assistant to the Provost to ensure smooth campus operations when the President is not on campus


Qualifications:
  • Bachelor's degree required
  • Demonstrated successful experience in an administrative role
  • Excellent oral and written communication skills 
  • Intercultural competency; ability to work with individuals from diverse backgrounds
  • Ability to develop and maintain collaborative working relationships, engage in creative problem-solving, research possible solutions for achieving results, and extend enlightened hospitality 
  • Demonstrated desire to work in a fast-paced environment and the organizational skills required to effectively manage multiple projects simultaneously with attention to detail and deadlines
  • Interest in learning new software applications and intermediate-level ability to utilize Microsoft Office and Google, including Word, Excel, PowerPoint, Google docs, Google Calendar and Gmail
  • Ability to prioritize tasks 
  • Ability to maintain confidentiality and deal with sensitive information
  • Availability to work some weeknights and weekends
