IIE Organization is Hiring a Remote Program Coordinator, Fulbright (Hybrid)

Job Description:

The Program Coordinator will support the Fulbright Program Management Team’s administration of the Multi-regional Fulbright Student and Scholar Programs sponsored by the Bureau of Educational and Cultural Affairs (ECA) at the U.S. Department of State, including but not limited to the Fulbright Scholar-in Residence Program, the Fulbright Arctic Initiative, the Fulbright Public Policy Fellowship, the Global Scholar Award, Fulbright-National Geographic Fellowship, the Fulbright-National Archives Heritage Science Fellowship, Outreach Lecturing Fund and more. The Program Coordinator will support all aspects of the programs’ lifecycle, including recruitment of qualified applicants, application review and selection, pre-grantee administration and grantee management across the six world regions and multi-regional programs.

Essential Functions:

  • Supports Program Management multi-regional team with all aspects of grant and program administration. Assists teams with high-level administrative tasks and implements multiple processes.
  • Responsible for complying with applicable contract and ECA requirements and following all IIE policies and procedures. Participates in training to keep abreast of regulations, policies, technologies, and procedures. Implements IIE’s contractual obligations to the sponsor in keeping with ECA’s program goals through interpretation and implementation of policies and objectives.
  • Supports the outreach efforts of the Fulbright multi-regional team by monitoring shared inboxes and corresponding with potential applicants.
  • Supports the Application and Selection of participants by:
    • Reviewing applications for completeness and eligibility.
    • Preparing applications for review committees.
    • Tracking selection of applicants by program stakeholders and submission of applications for Board approval.
    • Supporting review selection meetings.
  • Supports grantee onboarding and monitoring by:
    • Creating and entering data for grantee budgets
    • Monitoring the collection of all required documents from grantees and following up with various stakeholders to collect missing documents.
    • Preparing reports on missing documents.
    • Assisting in grantee payment processes.
    • Sharing grantee reports with Fulbright commissions, U.S. Embassy Posts and ECA.
  • Uses technology to promote program policies and procedures and to monitor grantees across programs.
  • Monitors shared advising email inboxes in coordination with Program Officers.
  • Performs other duties as assigned.

The Institute of International Education (“IIE”) has a hybrid work environment that allows team members a combination of in-office work and telework at any of the locations listed above.

Education and Work Experience:

  • Requires an Associate's degree and at least two years of related work experience or an equivalent combination of education and experience.

Knowledge, Skills and Abilities:

  • Ability to work on projects and tasks involving complex details which require well-developed organizational, time-management and administrative skills.
  • Ability to easily adapt to changing organizational needs and a fast-paced work environment; work independently without close supervision and as part of a team.
  • Knowledge of higher education systems in the United States
  • Ability to interact with all levels of team members and external contacts; sensitive to cultural differences when working with people from other cultures.
  • Excellent interpersonal and communication skills, both oral and written.
  • Proficiency with MS Office applications including Word, Excel and Outlook.

Salary: $47,843.25. A candidate’s salary is determined by various factors including, but not limited to, relevant work experience, job-related knowledge, skills, abilities, internal organizational equity, and geographic region.
