Accounts Payable Lead
Position title: Accounts Payable Lead
Reports to: AP/AR Manager
Supervises: N/A
Position summary:
The Accounts Payable Lead processes invoices and payment to vendors for all business units in the company. The primary responsibilities of the AP Lead include reviewing, reconciling and remitting payment to vendors on behalf of the entire organization in a timely manner.
Duties and responsibilities:
- Processing daily incoming of roughly 400 invoices via Medius Flow OCR System, this includes 3-way match invoices, contract invoices and direct voucher expenses.
- Charges expenses to accounts and proper financial dimensions by analyzing invoice/expense reports and recording entries.
- Remits vendor payments weekly through vendor check run in Dynamics 365 ERP system.
- Responds to incoming emails and phone calls from vendors and business units regarding open AP aging.
- Maintains critical business relationships with multiple internal business units across several locations.
- Issues stop-payments on checks or purchase order amendments for payment disputes.
- Maintains Accounts Payable policy and procedures in accordance with appropriate financial and security controls.
- Responsible for AP fraud prevention and risk management reporting.
- Processes employee expense reports in Dynamics 365 ERP system.
- Maintains accounting ledgers by verifying and posting account transactions.
- Verifies vendor accounts by reconciling monthly statements and related transactions.
- Processes and issues timely 1099 tax documents to applicable contractor vendors within federal and state guidelines.
- Research and resolves outstanding vendor and business unit issues related to vendor accounts.
- Remains abreast of evolving company and accounting policies and best practices.
- Completes assigned projects for Accounts Payable systems maintenance.
- All other duties as assigned.
Knowledge and Skills:
- Must be knowledgeable and proficient in Windows, MS Office, particularly Excel.
- Must pay excellent attention to detail and display problem-solving skills.
- Must have excellent written and oral communication skills.
- Dynamics ERP System and Medius Flow OCR system experience preferred.
- Must work well independently in completing daily, weekly, and monthly tasks.
- Must be available to work during mandatory critical times, including but not limited to month end close, quarter fiscal close, fiscal year end close and sometimes evenings and weekends.
- Must work well in a team setting.
- Must work well in a high volume, fast paced environment.
- Must be able to sit for long periods of time in an office type of environment.
Education and work experience:
- 2 years of Accounts Payable Lead experience preferred.
- 5 years of Accounts Payable experience overall required.
- Accounting or Business Management degree or equivalent experience preferred.
