The Role

As Executive Administrator, you will provide executive level support to the CEO, Board of Directors to ensure a high level of operational excellence. Reporting to the CEO, you will do this by:

  • Executive Operational Support (50%). Administrative and clerical support. Preparing, coordinating and scheduling: calendars, travel, meeting agendas, meeting preparation/information, presentation, meeting location and logistics, recording meeting minutes, keeping attendance records. Manages CEO’s purchase requisitions, vendor/contractor invoicing, reimbursements and credit card purchase requests. Preparing executive and administrative budgets annually in partnership with the CEO. coordinate staff culture-building activities as assigned, including: holiday activities, and team building activities. Conducts donor acknowledgement and stewardship activities on behalf of the CEO. Makes donor touchpoints updates in the donor database on behalf of the CEO.
  • Board of Directors Support(50%). CEO’s administrative liaison with the Board of Directors. Prepares and maintains Board of Directors files and record keeping. Coordinates board and committee collaboration on project management systems, ensuring all board documents are up to date and accurate. Onboarding new board members. Planning and executing celebrations including member rotations, holidays and annual retreat. Plan for, distribute and analyze the Board of Directors Self-Assessment each year with the CEO. Supports CEO and Board of Directors for annual bylaws and board policy compliance.

Maintains discretion and confidentiality in relationships with all board members, staff and volunteers. 

Requirements

Experience/Skills

  • Bachelor’s Degree preferred. 
  • 2 – 4 years of executive administrative support experience
  • Minimum of 21 years old and valid AZ driver’s license 
  • Dependable vehicle with proof of current AZ registration and valid insurance 
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Professionally represent the organization within stakeholder settings
