Hunter Industries Brand is Hiring an Executive Assistant Near San Marcos, CA

About This Role:

The Executive Assistant provides executive support and administrative assistance to the IT executive team. Exercises sound judgment in handling a variety of matters, including confidential information. Frequently interacts with officers, senior leaders, employees, and others and is routinely entrusted with highly confidential information.

Essential Job Functions/Tasks:

  • Provides executive assistance and administrative support which includes typing letters, memos, correspondence, etc.; maintains calendar, schedules appointments. Implements and maintains confidential and general executive files and communications.
  • Designs, updates, maintains, and publishes reports and presentations; organizes and maintains business unit budget(s), including resolving discrepancies with business unit leaders and the Finance department. Assists in the process of monthly or quarterly reforecasting.
  • Plans and coordinates business meetings/conferences/events and provides logistical support for meeting room to include preparation of meeting agenda, organizational requirements notification to attendees, records meetings agendas and status reports; organizes external meeting sites.
  • Maintains appointment schedule of internal and external meetings and appointments; screen telephone communications, mail, and visitors for effective time management of executive workday; arrange domestic and international travel to include preparation of travel files and documentation.
  • Acts as a liaison between IT and internal/external stakeholders, ensuring effective communication.
  • Serves as a point of contact for inquiries related to IT administrative matters and communicates to team members and other departments.
  • Researches and evaluates potential IT vendors, products, and services to ensure cost-effectiveness and quality.
  • Creates and maintains detailed records related to IT procurement, expenses, and vendor contracts.
  • Generates reports and updates highlighting key metrics, budgetary information, and procurement status.
  • Maintains tracking of budget expenses, prepares purchase requests, processes check requests, and monitor and manage expense reports.

Education/Training Required and Preferred:

  • Bachelor's degree in business administration, information technology, or a related field preferred.

Experience Required and Preferred:

  • Experience as an executive assistant or in a similar administrative role required.
  • Minimum five years of project administration/coordination

What You Bring:

  • A positive attitude, and strong interpersonal skills to interface with owners, officers, board of directors, employees at all levels, customers, vendors, etc.
  • Advanced computer skills in Word, Excel, PowerPoint, and SharePoint.
  • Excellent written and verbal communication skills in English (Spanish a plus).
  • Detail oriented with strong organizational, analytical and follow through skills; self-motivated and independent with the ability to frequently re-prioritize responsibilities to meet all deadlines.
  • Must be able to work independently and have excellent decision-making abilities.
  • Requires tact, diplomacy, and the ability to use discretion and maintain confidentiality.
  • Strong analytical, troubleshooting, and problem-solving skills.
  • Ability to type 50 words per minute.
  • Professional phone and business etiquette.

The salary for this opportunity ranges from $60,740 to $91,710

The Company complies with all federal/local/state regulations in regard to pay. The above represents the expected salary range for this job requisition. Compensation offered to the successful candidate will be determined by qualifications, prior experience, other job-related factors, and geographic location.
