Humboldt Park Health is Hiring a Payroll and AP Specialist Near Chicago, IL

Position Highlights:

  • The Payroll/ AP Specialist is responsible for the managing and coordination of payroll processing operations Ensures accurate calculation of wages and processing of tax withholdings and company deductions
  • Responsible for the processing of payment of invoices, check request and reimbursements for Humboldt Park Health

Responsibilities:

  1. Oversees the day-to-day operations of the Payroll Department. Runs the processing of multiple payrolls. Monitors compliance with approved policies and procedures.
  2. Implements processes that ensure all legally required federal, state and local taxes, Social Security contributions, and other deductions are withheld from individual paychecks.
  3. Implements improvement to processes, procedures, and workflow to create efficiencies. Contributes to the development of organization-wide payroll related policies and procedures.
  4. Ensures accurate accounting and reporting on all payroll related feeds to finance. Performs and oversees accurate, correct, and timely payroll reconciliations and audits, and troubleshoots any issues that arise.
  5. Responsible for collecting, reviewing and analyzing payroll information to effectively administer involuntary deductions from pay, such as garnishments, child support, state and federal tax levies and the like.
  6. Recommends and implements operational procedures and processes in support of Fiscal Services operations; monitors compliance with approved policies, procedures, and processes. Ensures internal controls are in place and compliance is adhered to.
  7. In collaboration with management, IT, and systems support staff, develops, tests, and implements new and/or updated system processes and improvements as assigned.
  8. Coordinates day-to-day activities and communication between Payroll Department and other internal departments in accordance with set priorities.
  9. Provides information on systems and processes, and guidance on issues as appropriate. Escalates high level issues and all service issues to Fiscal Services leadership
  10. Communicates technical and confidential information to all levels of employees and outside agencies as appropriate. Provides immediate response to requests for clarification and interpretation of data.
  11. Reconciles and completes quarterly and annual federal and state tax reporting, including Forms W-2 and correction reports as required. Stays current, complies with and provides interpretations on various rules, regulations, laws, contracts and policies. May work with government agencies, benefit providers, auditors and/or other college staff to resolve problems and provide requested information.
  12. Complies with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising management on needed actions.
  13. Maintains employee confidence and protects payroll operations by keeping information confidential.

Qualifications:

  • High School/GED Diploma is required. College degree preferred.
  • Minimum of 3 years of experience
