Aloft Philly seeks an enthusiastic, detail-oriented Sales & Catering Coordinator to join its sales team. Reporting to the Area Director of Sales & Marketing, this is a high-guest contact role that will handle the department’s day-to-day administrative duties. 

WHAT YOU’LL DO: 

  • Serve as the point of contact for the Sales office.
  • Coordinator and point of contact for groups as assigned.
  • Coordinate with the Front Office on daily showrooms; communicate information to all sales and catering managers.
  • Assign group leads from all lead channels to the appropriate sales/catering managers. 
  • Print and distribute group pick up and group cut off reports on a weekly basis; load all new groups and build booking links.
  • Conduct quarterly audits from sales systems and PMS systems to ensure accuracy.
  • Actualize room blocks, catering and banquet functions in the sales system after the group’s departure.
  • Schedule all in-house events and create BEOs (i.e. Town Hall Meetings, department meetings, etc.)
  • Input meeting planner points for all groups and any project or special corporate travel promotions.
  • Manage HRI SCORE Program and Brand Referral Program.
  • Manage group commission by verifying and process payment.
  • Run daily reports (transaction/activities/group in-house reader boards/SALT). Run weekly reports (BEO/resume/daily events).
  • Conduct meetings with hotel management to review all groups arriving within the near future.
  • Complete amenities forms and amenity cards for groups and weddings; ensure delivery information is communicated to appropriate departments.
  • Create directional signage for incoming groups and to place around hotel, table numbers, name tents, buffet cards, etc.
  • Order collateral for assembling sales kits, sales promotions, amenity cards, envelopes. Order business cards for all hotel managers. Maintain organization of the supply closet.
  • Coordinate sales kits and other hotel materials, including flyers and signage.
  • Attend property staff meetings and other property-specific meetings as requested by the Area Director of Sales & Marketing.

OUR MUST-HAVES: 

  • High school diploma or equivalent (4-year college degree preferred, but not required).
  • Hospitality experience and hotel sales systems knowledge highly desired. Previous customer service experience is a bonus!
  • Excellent oral and written communication skills; ability to write routine reports and correspondence.
  • Highly organized with proven ability to prioritize and multi-task.
  • Superb interpersonal skills, including the ability to effectively communicate in front of groups of customers and/or hotel associates.
  • Proven ability to work well under pressure and meet deadlines and be a team player.
  • Ability to calculate figures and amounts such as discounts, interest and commissions.
  • Proficient in general computer knowledge, including Microsoft Word, Excel and PowerPoint.
  • Ability to work flexible shifts and schedules as needed, including weekends and/or holidays.
