Executive Assistant
COMPANY MISSION STATEMENT: HPM positively impacts communities by providing specialty healthcare to rural America on behalf of an underserved population.
The Executive Assistant provides support to COO, CAO, CFO, and Director of People (HR) by handling correspondence, managing calendars, appointments, and events, arranging conferences and conference calls, making travel arrangements, providing other administrative tasks, and coordinating projects while role modeling HPM’s Values and Behaviors.
DUTIES & RESPONSIBILITIES:
· Role model and live the company values and behaviors. Know the company vision, mission, and objectives and continually communicate and reinforce these to Team Members.
· Coordinate and maintain active calendars of appointments.
· Plan, coordinate, and ensure schedules are followed and respected.
· Partner with the support group to keep him informed of upcoming commitments and responsibilities.
· Compose and prepare correspondence, as requested, that may be confidential in nature.
· Arrange detailed travel plans, itineraries, and agendas; create and compile documents for travel-related meetings/conferences.
· Attends requested meetings, takes minutes, and distributes minutes within 24 hours.
· Retrieve information as requested from records, email, minutes, and other related documents; prepare written summaries of data when needed.
· Respond to and resolve administrative inquiries and questions.
· Provide a bridge for smooth communication between support group and other internal departments.
· Maintain credibility, trust, and support with HPM Leadership and Team Members.
· Manage a variety of special projects, some of which have short deadlines.
· Successfully complete deliverables in a timely and accurate manner.
· Coordinate collection and preparation of operating reports, such as budget expenditures and performance data.
· Prioritize conflicting needs and handle matters expeditiously.
· Performs other duties, as assigned.
MINIMUM QUALIFICATIONS:
The following are expected of the Executive Assistant:

· Expert level written and verbal communication skills.
· Strong interpersonal skills and the ability to build relationships with internal and external clients.

· Proven ability to handle confidential information with discretion and adaptable to competing demands.

· Forward looking thinker who actively seeks opportunities and purposes solutions.
· Ability to type >50 words per minute.
· Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media platforms
· Problem-solving skills.
· Project planning, risk management, time management, and other project management skills.
EXPERIENCE: Minimum three years of experience supporting C-Level Executives, project management experience – preferred.
EDUCATION: Associate degree - required, Bachelor’s Degree – preferred.
EEO/OSHA/ADA: Able to manipulate and use CRT/screens, keyboards, mouse/pointing devices, etc., associated with contemporary computers. Able to sit or stand for extended periods of time. Must be able to lift 15 pounds at times.

Pay: $55,000.00 - $70,000.00 per year
