Who we are and what we do:
The Tennessee Public Utility Commission (Commission) is the regulatory body created by the General Assembly to provide general supervisory and regulatory oversight over all aspects of Tennessee's privately-owned telephone, natural gas, electric, water and wastewater public utilities, and provides administrative and investigative support to the Underground Utility Damage Enforcement Board (UUDEB). The Commission also administers popular consumer assistance programs, like the Do Not Call program and the Telecommunications Device Access Program. In addition, Commission personnel inspect approximately 40,000 miles of natural gas distribution and transmission lines that service over 1,356,000 Tennessee customers.
Job Overview:
The Fiscal and Information Technology Division is seeking a highly qualified and motivated individual to serve in a hybrid position as an Executive Administrative Assistant 2 (EAA2).
Under general direction, this position is responsible for providing assistance to the Chief Financial Officer and the fiscal division in the procurement process with procurement related activities as well as provide assistance in the processing of all accounts receivable while maintaining proper segregation of duties and approvals. This position will also be responsible for understanding and representing the perspective and technology needs of the agency, maintaining updated systems and user documentation, and training end-users, including maintaining hardware, software, security, and connectivity for the Commission.
The starting salary for the appointee will depend on the individual's experience and education.
Key Responsibilities:
1. Enters data into electronic databases to ensure accurate processing and record keeping.
2. Generates requisitions, purchase orders, receipts, and vouchers as necessary.
3. Tracks invoice payments, purchases, generate reports, and spreadsheets.
4. Codes requisitions using appropriate department codes to assign the goods/services to the correct account.
5. Sets up spreadsheets by writing formulas and functions to facilitate the processing of accounting information.
6. Uses electronic office productivity software (Microsoft Office / Adobe) to perform daily tasks.
7. Schedules queries in electronic databases as required.
8. Places orders from approved vendors as need by the agency.
9. Communicates with internal and external customers.
10. Establishes vendor contacts to provide a go-to resource for problem solving and daily interactions.
11. Provide basic laptop and printer troubleshooting. Liaison for password resets, VPN questions, MS Office Word, Outlook, and Excel support.
12. WebEx meeting liaison and support.
13. Manage Commission's conference rooms.
14. Provide support for Commission web page.
15. Perform annual I.T. hardware inventory.
