Immediate opening for an outgoing, trustworthy, reliable, organized individual, capable of learning quickly, retaining information effectively, and working efficiently. This is an interesting position, and an exciting opportunity to become a part of the general aviation service industry. Candidates must be capable of performing a large variety of tasks, effectively receive verbal directives on the fly, with the ability to shift gears quickly. Environment is casual yet professional, and requires direct interaction with airport personnel, aircraft mechanics, customers, sales reps and delivery personnel.
NOTE: We are a small, private owned aviation maintenance and repair facility, located in an aircraft hangar, situated in a field near an active runway on one side, wooded area and pond on the other. Noise, dust, insects, rodents, and other wild life are common, both inside and around the facility, and should be strongly considered for compatibility.
Candidates are required to complete all requested assessments for consideration
Examples of daily duties include, but are not limited to:
· Answering multiple phone lines, retrieving, and responding to voice mail and email
messages
· Collecting detailed information from customers, scheduling service requests and
maintaining calendar
· Creating, updating, and reconciling customer and vendor accounts
· A/R and A/P posting, processing, reconciling and collections
· Calculate and post employee times and process payroll as needed
· Working with purchase orders, ordering, shipping, receiving and distribution of aircraft parts and supplies
· Processing warranty claims, part returns and processing payments
· General office tasks, such as filing, copying, faxing, ordering office supplies
· Shuttling customers to/from the airport terminal, escorting delivery personnel, retrieving
mail, and running errands for the business using personal vehicle (mileage reimbursed)
· Maintaining cleanliness and appearance of reception area and restocking refreshments
Required/Preferred Skills
· Capability and initiative to learn the general aviation business and industry-based
software within expected time frame
· Accurately follow processes and procedures
· Proficiency with QuickBooks Desktop, setting up of new customers/vendors, posting and processing A/R, A/P, calculating employee time cards and processing payroll, filing and paying sales and payroll taxes
· Proficiency with Microsoft Office products (Word, Excel, Outlook), and use of internet and
numerous browsers
· Operate peripherals (copier, scanner, fax, etc.)
· Excellent customer service, verbal and written communication skills
· Professional integrity and sense of responsibility and accountability
· Motivated self-starter with willingness to take initiative
· Ability to work in a two-person office environment
· Must have reliable transportation
Required Experience
· QuickBooks Desktop 2023/2024, A/R, A/P, Payroll (minimum 2 yrs.)
· Microsoft Word, Excel, Outlook (minimum 2 yrs.)
· Office management/assistant management (minimum 1 yr.)
· Automotive/aircraft parts or service industry experience (preferred)
Starting hourly compensation is dependent upon experience level.
