Executive Administration Assistant Day Shift

Program & Location: CBHC Brockton Campus
Pay Range: $50,000-$55,000
Status: Full Time
Shift: 8am-4:30pm
Schedule: Monday-Friday

High Point & Affiliated Organizations is a health and human service agency whose mission is to treat and prevent substance use disorders and mental illness. High Point has programs located throughout Southeastern Massachusetts offering a full continuum of care for substance use and mental health treatment, including inpatient, outpatient, residential, and community-based services. Programs and services also assist survivors of abuse, violence, and families experiencing homelessness. High Point believes that everyone has inherent goodness, worth, and dignity. Our goal is to help individuals and families achieve personal change and improve their quality of life. 

Qualifications

  • High School diploma 
  • Experience working in a healthcare related field preferred;
  • Experience working in an organization that addresses mental health and/or substance use services preferable;
  • Experience creating detailed reports and presenting information in a clear, concise manner.
  • Ability to work independently with strong organizational skills;
  • Ability to provide training to groups of staff;
  • Strong computer skills and knowledge of Microsoft Office applications required.

Requirements

  • Must present as courteous and professional at all times.
  • Must have excellent communication skills, including the ability to organize ideas and priorities in a logical and clear fashion.
  • Must have the ability to work with others in cooperative and collaborative manner.
  • An understanding of the relationship between substance use and mental health issues.
  • Compliance with Federal Regulations, 42 CFR Part 2, Confidentiality of Substance Use Disorder Policy and HIPAA Regulations.
  • Ability to work with multiple disciplines to ensure compliance.
  • Knowledge concerning the overall structure of the corporation, including, but not limited to its philosophy, mission, goals, policies, personnel, departments, and staffing needs;
  • Excellent written and oral communication skills, commitment to excellence and high standards and strong organizational, problem-solving, and analytical skills;

Duties and responsibilities

  • Knowledge of licensing/governing body standards, licensing requirements and regulatory standards in assigned settings;
  • Coordinate renewals of contracts, licenses, visits & certificates, including tracking and uploading required information for BSAS licensed programs into the Virtual Gateway;
  • Facilitate Tally (Quality Assurance Reporting) meetings, including tracking, follow up, indicator sheets, monthly review;
  • Conduct internal complaint and grievance investigations for residents;
  • Provide staff training and support related to New Hire EHR training, Corporate Compliance, data management, as well as clinical and compliance topics;
  • Provide staff support of utilization management, resolution of errors through technical support, and training to new staff;
  • Evaluation of workflows to improve efficiency;
  • Complete tasks related to process design, management and improvement initiatives, data collection, analysis and reporting, and quality assurance projects;
  • Plan, facilitate, and direct compliance audits, mock site visits, CQI projects, and failure mode analyses, including completion of documentation, evaluation of flow of information entered into EHR and compliance related to regulations and program specifications;
  • Project management among different departments;
  • Liaison with Financial, Information Technology, Human Resources, and Clinical departments related to quality projects and initiatives;
  • Travel between Inpatient programs and sites required;
  • Complete assigned tasks in a timely, confidential, and accurate manner;
  • Meeting attendance, subsequent meeting minutes, distribution and maintenance of for all meetings minutes as directed;
  • Remain up to date on polices / procedures, assist in development / recording of new policies / procedures, make updates to existing policies / procedures when changes occur;
  • Maintenance and distribution of Corporate Policies & Manuals;
  • Create and maintain various databases, forms, and reports and ensure their availability to appropriate staff as needed;
  • Regular communication with the Program Director Leadership Team regarding deadlines, reports, needs, etc., escalating any concerns to the COO;
  • Provide administrative, clerical, and general overall daily support to the COO of Inpatient;
  • Other duties as assigned by the COO of Inpatient.
