I. Job Summary The Administrative Assistant facilitates and coordinates the efficient operation of the administration department by performing a variety of clerical and administrative tasks.
II. Summary of Primary, Essential Duties
1. Schedules meeting and send out invites for Admin/Business Meeting, Leadership & Management Meeting, IIPP Committee Meeting according to the meetings schedule. Coordinate with IT department for setting up meeting.
2. Attend Administration Department meeting and take minutes.
3. Schedule Zoom meeting by Directors and Executive officers request
4. Prepare monthly productivity report with eCW and send to Operation Director & Finance Dept.
5. Assist Operation Director to submit bi-week vaccination survey to HRSA, if needed.
6. Saves all licensures in the Admin drive and create CLP Tracking in Compliatric system for tracing the expiration status. Post all renewed licenses related sites. The old one return to CAO keep record.
7. Create/Update clinical signage and notices by requested
8. Arrange meals and delivery for meetings by requested
9. Maintenance inventory of, organizing, and submit Upkeep for ordering admin office supplies
10. Submit Upkeep request of admin office repairing, delivery/pickup goods between sites
11. Daily check Aerojet’s mail box and distribute mails accordingly. Stamp all outgoing mails and drop in post office.
12. Retain all agreements in Admin drive by Scope & Non-scope, save those agreements in Compliatric system and files hard copies in binders by Scopes and Non-Scopes.
13. Assist Administrative Director and the Chief Administration Officer to prepare annual drills, such as the fire drill the earthquake drill. Update Hazard and Vulnerability Assessment annually with each site's supervisor
14. Add/delete staff cell phones in Everbridge system for drill or emergency purposes based on information provided by HR.
15. Book conferences and travel arrangements
16. Greet and welcome visitors and keep visitors record

IV. Education/License/Certification:
1. High School graduation or equivalent is required.
2. College degree is preferred.
V. Skills and Specifications:
1. A minimum of three years of paid experience as an administrative assistant or similar work with health care experience is highly desirable.
2. Working knowledge of office operations, filing systems, high level of computer literacy. including but not limited to Office Suite, Google Suite, cell phone operations, and landline operations.
3. Must be diplomatic in working with executive leadership and well as other office staff
4. Must be well organized, meticulous, and present a professional demeanor.
5. Must be capable of working independently as well as in a team setting.
6. Must demonstrative a mature response to criticism and be able to learn from mistakes.
7. Must be a continuous learning and problem solver.
8. Must demonstrate initiative and pitch in to help others.
VI. Physical Requirement
1. Physical effort which may include occasional light lifting to a 25-pound limit, and some bending, stooping or squatting. Considerable walking may be involved. The ability to sit or stand for extended periods of time is required.

3. While performing the duties of this job, the employee may be required to travel to all HCHC facilities as needed.
