Halo is looking for a Billing Coordinator who will be responsible for reviewing orders for accuracy, which entails research and resolution on pricing discrepancies and incorrect product quantity issues. They will be partnering with vendors and/or account executives regarding these inconsistencies, resulting in accurate and timely invoicing to our clients. As a crucial member of the Operations Department, this Billing Coordinator will ensure the invoicing process runs smoothly, impacting the financial operations of the organization.

HALO believes in bringing teams and individuals together in a collaborative environment. For candidates who live within a 30-mile radius of our Illinois offices, the following will apply:

  • If you reside within a 30-mile radius of our Sterling, IL office, you are required to work a hybrid schedule, working in-person anywhere from 1-3 times a week.

Responsibilities

  • Review and resolve pricing discrepancies on orders placed against vendor invoices received.
  • Partners with company multiple Account Executives and Suppliers regarding exceptions to orders and resolving billing issues.
  • Ensure invoicing orders are completed within deadline, preventing aging account order past 30 days.
  • Escalate complicated orders to leadership for rectification ensuring timely invoicing.
  • Review freight charges to apply/remove from order for accurate billing.
  • Prepare and update Excel spreadsheets regarding projects and workflow provided by Leadership.
  • Maintain/Update ERP system regarding customer records, orders and invoice updates.
  • Support the overall team with swing resources to ensure departmental coverage.
  • Attending team meetings and providing input on trends, next step resolutions and exceptions.

Requirements

  • High School diploma or GED.
  • 2 years of Billing, Accounts Payable and/or Accounts Receivable experience.
  • Experience in Microsoft Word, Excel, Outlook and Teams.
  • Enjoy problem-solving, and helping customers.
  • Comfortable making judgment calls, and prioritizing workload.
  • Excellent oral, written and interpersonal communication skills.
  • Motivated by working in a goal-oriented, deadline-driven team with autonomy in how you work.
  • Ability to deliver under deadlines with a high level of accuracy.
  • Active participant in giving and receiving in appreciative and constructive feedback.
  • Motivated learner that will take advantage of on-the-job training, complementary training programs, career mentorships, and stretch assignments.

Preferred qualifications

  • 5 years of experience in Billing, Accounts Receivable and/or Accounts Payable.
  • Associates degree in Accounting
  • Experience with ERP system (i.e. M3, NetSuite, etc.)
  • Previous experience in the promotional products industry and/or freight-related experience.
