The Receptionist will create a professional and welcoming environment for our clients and guests when they visit our offices. The Receptionist must be an experienced detail-oriented person with the ability to multitask in a fast-paced office setting. They will be responsible for answering calls and emails and providing information to walk-in guests. The Receptionist will assist clients with scheduling appointments and answering questions about our programs and organization. They will also support the admin functions of the organization. This position requires someone fluent in both English and Spanish.
1.Answer and direct phone calls in a polite and friendly manner.
2.Answer email inquiries or route them to staff as appropriate.
3.Welcome all guests, get them signed in and assist them based on why they.
4.Assist clients who walk into schedule appointments with staff as needed.
5.Maintain office security by following safety procedures and controlling access via the reception desk (monitor sign in and out process).
6.Manage the out of office and holiday messages for the main line and information email.
7.Receive and sort incoming mail and deliveries daily and manage outgoing mail.
8.Manage the reception area by keeping it clean, welcoming, and organized.
9.Stock the snack area and assist in keeping the café tidy.
10.Assist with scheduling meeting rooms and ensure they are tidy and presentable with all necessary equipment and materials.
11.Support Executive Administrators with events and general office operations.
12.Operate standard office equipment on a regular basis, such as fax, copy machine, postage machine, scanner, computer, etc.
13.Maintain call log capturing data on requested services that can be used in organizational planning.
14.Performing other clerical tasks as needed including data entry into our organizational CRM.

Work Environment

This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical Demands
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to use hands, reach with hands/arms, listen, and communicate. The employee must be capable of lifting and/or moving up to 15 pounds on a necessary basis and will occasionally be required to stand and walk for extended periods of time consistent with a typical office environment.
Position Type/Expected Hours of Work
This is a full-time, hourly position and the office hours of operation are Monday through Friday, 9 a.m. to 5 p.m. Some early mornings, evenings, and weekends may be required.
Travel
Travel, if any, is primarily local during business hours and mileage is reimbursed.
Required Education and Experience
1.High school diploma or general education degree (GED)
2.-3 years of relevant experience in an office environment
3.Bilingual; fluent in both English and Spanish
4.Prior use of Microsoft Office365
5.Must obtain Anti-Money Laundering certificate within first 90 days: training provided by Habitat
6.Must obtain Safeguarding certificate within first 90 days: training provided by Habitat
