Green Drop Garage is actively seeking an experienced and dynamic Office Manager to provide senior level administrative support to the corporate office. The Office Manager plays a crucial role within our organization, serving as a key member of the corporate team alongside the Owner, Directors, Accountant, and Shop Managers. This position is instrumental in upholding policies, procedures, and ethical standards, guiding Green Drop Garage toward profitable operations, standardized processes, and business expansion.

As the Office Manager, you will be responsible for overseeing the daily operations of our office, ensuring efficiency and productivity. This encompasses upkeeping the corporate office, assisting with accounting and HR tasks, and serving as a central point of contact for internal and external inquiries. Additionally, the Office Manager will collaborate closely with the Director of Operations, assisting with both professional and occasional personal tasks. The ideal candidate is highly organized, resourceful, numbers-oriented, and creative in project work, capable of working independently and adapting to various challenges.

Our office is located in the Central Eastside of Portland and hours are generally 8am-5pm Monday Through Friday, though this role offers some flexibility.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

Administrative activities & Office Management (30%)

  • Greet visitors and ensure that the highest level of hospitality is provided to everyone both in person or on the telephone, and direct inquiries appropriately
  • Perform administrative work such as typing, filing, data entry, scanning etc
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Order and maintain kitchen & office supplies, furniture, equipment etc. for the company
  • General facilities: cleanliness, maintenance and security of the office space. Responsible for communications and oversight of outside contractors or building maintenance.
  • Coordinate and order food and beverages (including setup and clean up) for various meetings
  • Coordinate and manage calendars, scheduling, appointments, and travel arrangements.
  • Help develop office policies and procedures, and ensure they are implemented appropriately
  • Maintain and update compliance files as needed: permits, insurance, licenses etc
  • Provide IT support and organization: Passwords, WIFI , Phones
  • Maintain online subscriptions such as MailChimp, SignUp Genius, Office, etc.
  • Collaborate on a wide range of company projects and events

Accounting (30%)

  • Work closely with the accountant to ensure financial data is accurate and timely.
  • Provide support with expense reports and general cash reconciling
  • Assist with A/R process as needed- including prompt invoice processing & recording payments
  • Assist with A/P as needed - review and invoices, submit timely payments, etc
  • Prepare aging reports and follow-up with delinquent accounts

Human Resources (30%)

  • Coordinate with HR on matters for all employees within the shops and provide necessary information to support and resolve issues.
  • Assist HR with posting job openings, coordinating interviews, background and reference checks
  • Assist with the onboarding and orientation process, including new hire paperwork and enrollments, etc
  • Assist with employee benefit administration including communication to employees of plan details and eligibility requirements, ensuring timely enrollments and terminations from the plans
  • Help resolve any legal issues including but not limited to subpoenas, unemployment, labor and disability claims
  • Collaboratively support HR documents, databases, tracking tools and more
  • Support and provides back up on payroll functions

MINIMUM QUALIFICATIONS (KNOWLEDGE, SKILLS, AND ABILITIES)

  • Associates degree or equivalent experience in Business Administration; Bachelors preferred
  • Previous experience as an office manager with supervisory experience preferred
  • Strong computer and internet skills including all MS Office suite (Word, Excel, Outlook, PowerPoint), G Workspace, and Apple productivity suite of products required
  • Experience with payroll software
  • Experience with accounting software
  • Familiarity with administration of 401k plans, medical/ dental insurance, COBRA, ERISA, FMLA, and related state and federal regulations a plus
  • Must have excellent interpersonal and communication skills with a talent for customer service
  • Must be efficient with strong attention to detail
  • Must have strong skills in organization and planning, demonstrated ability to work independently and exercise sound judgment and problem solving
  • Proven ability to manage projects
  • Ability to prioritize tasks, exercise sound judgment and confidentiality with sensitive information
  • Proven ability to work in a collaborative team setting with strong personal accountability
  • Experience in a high-growth or start-up environment preferred
  • Excellent at coordinating, implementing, and following through on plans
