ABOUT THE JOB
The Office Manager will be a key member of the Office / Administration team making sure our beautiful, downtown offices in Portland, OR; Seattle, WA and San Francisco, CA are fun and awesome places to work! Office management involves the planning, design, implementation, and managerial oversight of multiple facilities including remote work environments. The Office Manager is responsible for the efficient functioning of the office through a wide range of administrative, facilities, and management tasks. This includes creating a focused work environment and guiding and coordinating the activities of administrative personnel to achieve business goals. These activities are evaluated and adjusted to improve and maintain efficiency, effectiveness, and productivity.
This individual will also support high-level administrative and clerical support to our ELT team, Firm leadership and Business Services functions such as Accounting and HR which may include tasks that may be confidential and time sensitive, preparing reports, conducting research, developing complex documents and Excel spreadsheets. Must have the ability to effectively communicate in a professional environment via phone and email, ensuring all duties are completed accurately and in a high quality and timely manner, and delivered with exceptional customer service.
AM's office hours are 8:00am 5:00pm Monday Friday. To best serve the needs of our clients and team members, this is an on-site role.

What will you do in this role?
You will
  • Direct daily operations of the office to ensure accuracy and timeliness in overseeing administrative support, receiving and directing visitors, responding to facility and maintenance needs and handling or delegating office tasks.
  • Coordinate location specific Office Coordinator roles to ensure guests are greeted promptly and effectively engaged during their time spent at AM. Provide backup coverage for front desk in Seattle, including phone coverage, when Office Coordinator is absent or otherwise engaged.
  • Serve as the Firm's Community Liaison by attending local community meetings, participating in community Board meetings and ensuring regular involvement in the communities we work in
  • Lead and chair the Wellbeing Committee providing wellness initiatives for the Firm.
  • Ensure the office environment supports the company's mission, vision, and values.
  • Ensure common areas of all locations are clean, stocked and managed efficiently.
  • Performs or facilitates maintenance of office equipment including cleaning, maintenance, and repairs.
  • Monitor office and facilities portion of the budget and provide guidance to employees on following it.
  • Facilitate, train, and implement, when necessary, the company's safety, emergency, and disaster protocols.
  • Monitoring office supplies and ordering new stationery, furniture, appliances, and electronics as required
  • Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order
  • Reporting office progress to senior management and working with them to improve office operations and procedures.
  • Leads event planning initiatives for various company events.
You bring
  • Humor, we love to have a good time
  • 8 plus years administrative experience.
  • Advanced knowledge of Microsoft Word, Excel, Project, and PowerPoint.
  • Experience with SmartSheet and Conceptboard would be terrific.
  • Excellent writing, editing, proofreading, and typing skills.
  • Proficiency in managing conflicting priorities and ability to adapt to an ever-changing environment.
