Qualifications

Bachelor's degree from four-year college or university; and a minimum ten years related experience and/or training; or equivalent combination of education and experience.

Must possess basic computer skills including the ability to utilize word processing, spreadsheet, e-mail and AutoCad applications. May require knowledge of applications specific to the project assigned. Must also possess excellent communication and interpersonal skills.

Must be physically present in the assigned office.

What we expect… (Essential Functions)

DEPARTMENT ADMINISTRATION

  • Demonstrate and Promote Core Values
  • Confer, work with and support other AE Directors, Project Directors and Project Executives.
  • Participate in the development and implementation of Department Strategic Planning and Improvement Initiatives.

STUDIO ADMINISTRATION

  • Coordinate studio functions.
  • Direct and coordinate appropriate administrative tasks.
  • Timesheet and Expense Report review and approval
  • Approving PTO
  • Mentoring / Challenging individual team members
  • Team Member Reviews
  • Team Member Project Assignments / Resourcing

PROJECT ADMINISTRATION

Proposal and Pre-Proposal Phase

  • Prepare and participate in Business Development and Marketing Efforts including Customer Meetings and Presentations, Trade Shows and Conferences, as applicable.
  • Accountable for development of design proposal, including compliance with Customer RFP.
  • Accountable for development and review of AE Workplan, including scope of services, design schedule, org chart and associated fees.
  • Responsible for identifying and engaging key design consultants for Proposal Efforts.
  • Responsible for identifying and communicating potential project risks.
  • Accountable for monitoring AE fees on Part 1 Efforts and capturing cost for Part 2 Efforts.

Execution Phase

  • Continuous collaboration with Project Management Directors and Field Operations Directors.
  • Monitor projects to assure Gray AE standards are followed.
  • Accountable for implementing Gray and Gray AE Processes.
  • Responsible for identifying, elevating, reviewing, discussing and resolving project issues with VP/SVP, AE; Project Director, Project Executives or BUM
  • Accountable for QA/QC Process
  • Responsible for review of design documents in accordance with the QA/QC Plan.
  • Assist and/or engage with AHJ
  • Engagement with Customer / Review Meetings
  • Accountable for ensuring shop drawing review in accordance with project schedule.
  • Responsible for conducting periodic Site Visits as warranted

Financials, Consultant Agreements, Project Risks

  • Responsible for review of customer contract, identify design project risks, and implement strategies in AE Workplan for risk mitigation.
  • Responsible for AE Workplan Approval in conjunction with VP/SVP AE.
  • Accountable for Bluefile Review and Projections, including review.
  • In conjunction with Design Manager’s, responsible for identifying and monitoring project KPI's
  • Accountable for implementation of project Design Change Log.
  • Responsible for Review and Execution of Design Consultant Agreements
  • Accountable for Orange Book

While performing the duties of this position, the team member is frequently required to stand, walk, sit, use hands and arms, reach, and talk or hear. They are regularly required to climb or balance, stoop, kneel, or crouch. Must frequently lift and/or move up to 25 lbs, and occasionally lift or move up to 100 lbs. Specific vision abilities include accurate near and distant vision.

Frequently in a normal office environment where noise level is moderate and temperature/humidity is controlled. Occasionally exposed to wet and/or humid conditions, moving mechanical parts, and outside weather conditions. May be exposed to high, precarious places, fumes or airborne particles, extreme cold and/or heat, risk of electrical shock, explosives and vibrations. Noise level on the job site is normally moderate to loud. Overtime may be required.

Supervisory Responsibilities

Directly supervises numerous team members such as Architecture Technicians, Assistant Design Managers, and Design Managers.
