GENERAL DESCRIPTION

The Executive and Personal Assistant provides executive assistance to the Owner/CEO of the Granger Group. This role is a key support position for the company, working as the ‘right-hand’ to the Owner and acting as an ambassador of the organization by exemplifying our company culture. Granger Group is a high-growth organization and the Owner’s office specifically is very fast-paced, with an entrepreneurial approach to the daily management of our business. You must be able to multi-task in order to handle a multitude of short and long-term projects with sometimes conflicting levels of priority.

As the Executive and Personal Assistant to the Owner, you will be the sole provider of all administrative support to him. The ideal candidate must have the ability to think strategically, see the “big picture,” recognize the impact of decisions on the company, and be meticulously organized and a strong planner. Excellent time management skills are a must. The candidate must be able to communicate articulately, clearly, and concisely (verbal and written) and know what, when and how to communicate depending on audience and subject matter (sensitivity and timing). The candidate must have the ability to operate independently and collaboratively and have a strong, dynamic working style. Must be available at all times by mobile phone, and able to return calls promptly.

The CEO must quickly know his responsibilities and be in a position to present the Company well. To ensure success in this role, the candidate must be extremely detail oriented and have a strong sense of urgency with all requests and inquiries to the office of the CEO. Additionally, the candidate must be able to maintain the highest level of professionalism when speaking with our clients on behalf of the CEO. Moreover the candidate will provide them with any backup on the inquiry whenever possible prior to delivering messages. As a gatekeeper to the CEO, the assistant will redirect inquiries to other departments whenever possible. The candidate will be expected to provide comprehensive lists to the CEO of any follow up they may need to do, communicate quickly and effectively and perform duties with the highest level of confidentiality.

HOURS/SCHEDULE

Full time position, flexible to the needs of the owner. Must be available by phone 24/7. This role will mainly consist of in office hours Monday – Friday 8am to 5pm. May require some travel.

RESPONSIBILITIES

· Be highly organized to assist the Owner in managing his time

· Proactively manage an extremely active calendar of appointments.

· Schedule all appointments and meetings; Plan, coordinate and ensure the Owner’s schedule is followed and respected. Prioritize and help determine the appropriate response and course of action for meeting requests.

· Manage all contacts including personal and business. Follows up on contacts made and supports the cultivation of ongoing relationships.

· Compose and prepare confidential correspondence to clients and business associates and ensure that the Owner follows through on commitments made. EA will also send emails from the CEO to business associates internally and externally and must ensure 100% accuracy.

· Office Management – Ensure that the appearance and operation of our corporate office consistently meets our company expectations. Accept, sign for, and distribute packages and mail. Maintain confidentiality to sensitive materials.

· Answer all calls to the office of the CEO, screen messages, communicate messages to CEO accurately and handle any requests personally whenever possible.

· Maintain Owner’s files (physical and electronic) in an organized fashion and retrieve document as requested at any time. Help to manage and prioritize physical files he carries with him and keep organized.

· Arrange complex and detailed personal and business travel arrangements & logistics (including flight, car, hotel, dinners, meetings). Efficiently utilize the Owner's time when on trips. Ensure travel runs smoothly with the utmost comfort and cost-efficiency. Create detailed travel itineraries and agendas.

· Provide start-of-day and end-of-day reports to communicate the progress of tasks, meetings, travel arrangements and office matters.

· Coordination with vendors for Owner’s residences; help coordinate seasonal maintenance, knowledge of operation of security systems and technology systems etc.

· Communication and coordination with the COO and other team members regarding the Owner’s schedule and availability

· Travel coordination as needed for other team members

The above duties are high-level and do not include all responsibilities. The Executive Assistant to the Owner must work to ensure the most effective use of his time and work directly with him daily to keep on schedule.

REQUIREMENTS

· Bachelor’s Degree preferred

· Minimum of 5 years of experience supporting C-Level Executives

· Strong organizational and outstanding attention to detail

· Expert level written and verbal communication skills

· Knowledge of finance principles preferred

· High degree of confidentiality and discretion

· Must be able to self direct and work in a fast paced environment

· Be able to demonstrate professionalism, positive attitude and be self-motivated

· Extreme attention to detail

· Flexibility in schedule and availability for weekend and after hours calls

· Warm and engaging personality

· Active listening skills

· Proactive approach to problem-solving

Pay: $60,000.00 - $70,000.00 per year
