Job Description The Opportunity: The Human Resources Administrator is responsible for providing day-to-day support to the Southwest Distribution Center (SWDC) HR Business Partner, Operations and Warehouse Associates. This includes responding to HR Business Partner and employee questions, resolving issues, HR Systems employee life cycle data entry, providing HR reporting, dashboard generation and basic analytics, and general support to the DC Network HR team.
What Your Impact Will Be: - Handle day-to-day processes, to include employee data changes, creation of job requisitions, training support, and answering HR questions for employees.
- Full end-to-end termination: coordinate with HRBP, Shared Services, IT, Security and external vendors, as needed, to ensure a positive employee experience; creation and distribution of digital termination documents; conduct exit interviews remotely and on-site as needed. Update/manage Termination Resources.
- Ensure compliance and integrity of all HR systems data through various audit processes in cooperation with Mattel Global Shared Services, Compensation/Benefits & HRIS and time and attendance.
- Manages sensitivity and confidential matters including employee relations, organization changes, and protects the security of information, data and files.
- Assist with labor code reporting and analytics for HR processes such as: Performance Review, Talent Planning, and Learning & Development initiatives.
- Create, manage, and track purchase orders and invoice processing for SWDC HR.
- Communication support: Monitor Displays and local communication assets execution and maintenance, Employee meetings, Text Em All.
- Translate employee communications from English to Spanish as needed.
- Compliance Support: Workers Comp packets, EHS, Covid Tracking and best practice protocols (coordinate and report), Labor Reporting, Compliance training.
- Partner with HRIS, Shared Services, IT, and Finance teams on supporting tools/systems and troubleshooting user issues (PeopleSoft, Kissflow, Coupa, Oracle, Workday, etc.).
- Serve as primary point of contact for employees, ensuring that service levels are met, and processes are continually being improved; follows up on delinquent requests and escalate issues on behalf of HRBP.
- Maintain and deliver standard and ad hoc HR reporting and analytics (e.g. overtime reporting, HR dashboards, etc.)
- Continue to support efforts to digitally enable the HR function and supporting processes.
- Manage employee communications, coordinating with Facilities and Security, and continually finding new ways to enhance the employee experience.
- Conducting new hire orientation as needed, including I-9 verification using EMPTrust and E-Verify.
- Analyze, interpret, and make recommendations to HRBP on Exit Survey and Global Pulse Survey data from Glint.
- Maintain SWDC HR office space to include ordering office supplies, submitting Facilities and IT tickets, general upkeep of common areas.
- Initiate Overpayment Deduction Authorization forms to support Payroll's collection of owed monies by researching discrepancies, addressing employee questions/concerns, etc.).
- Other special projects as assigned.
Qualifications What We're Looking For: - Bachelor's degree or equivalent work experience
- Bilingual - Spanish - preferred
- Minimum 2 years as a coordinator, and/or HRIS/Reporting supporting a fast paced department; experience working in an HR department preferred
- Intermediate to advanced MS Office skills specifically in Excel (formulas, vlookups, mail merge, etc.) and PowerPoint
- Strong understanding and detail orientation towards organizational charts and functional views (OrgPlus skills preferred)
- Strong analytic, organizational, and problem-solving capability
- Proven ability to improve and recommend digital solutions to manual processes.
- Ability to multi-task and self-manage/prioritize in a busy environment.
- Strong interpersonal and customer service skills with clients and team members
- Exceptional detail orientation and organization skills (with strong sense of urgency and follow up/follow through)
- Strong, clear, and professional written and verbal communication skills.
- Ability to actively listen and accurately interpret directions and instructions.
- Ability to think and illustrate 'big picture' focus as well as make sure the details are executed flawlessly.

- Experience working with HCM systems and digitally enabled processes, PeopleSoft and/or Workday preferred.
