Generations Healthcare is in search of a Receptionist / Office Assistant to join our team at our Support Center in Santa Ana, CA. Position Overview:
The primary purpose of the Receptionist / Office Assistant is to perform all front desk and office support tasks, in an efficient manner and in accordance with established procedures, as directed.
Essential Functions:
  • Oversees reception/lobby to include greeting and directing incoming vendors and visitors.
  • Handles mail function to include distribution of incoming and outgoing interdepartmental facility correspondence, faxes, dealing with shipping needs, and communication with courier company about delivery needs and issues.
  • Answers and directs incoming calls and assists staff with outgoing calls as requested, updates current phone listings.
  • Stocks office and kitchen supplies.
  • Stocks copiers and faxes w/toner and paper and ensures maintenance of all office equipment.
  • Maintains organization and cleanliness of office suites, conference rooms, lobby, and kitchen.
  • Assists with tracking invoices for travel, transportation, accommodations, office supplies and miscellaneous receipts for A/P.
  • Coordinates lunch for the corporate office.
  • Completes attendance sheet daily.
  • Completes special projects as requested.
  • Assists in the coordination of administrator/staff meetings.
  • Assists with travel request and accommodations for facility staff.
  • Assists with coordination of conference call and conference rooms, via Outlook Calendar.
Knowledge, Skills, and Abilities:
  • Ability to communicate Generations Healthcare’s policies and procedures as they pertain to office protocols.
  • Ability to work well with all levels within the organization.
  • Ability to communicate effectively with all levels of the Support Center and throughout GHC.
  • Strong organizational skills and adherence to deadlines.
  • Skilled in MS Office, Microsoft Outlook, Word, and Excel.
  • Internet skills.
  • Office Equipment Skills: Telephone System, Copiers, Fax Machines, Mail Meter, and Calculator/10-key.
Education and Experience:
  • High School Diploma or equivalent.
  • 1-3 years office customer service/filing/phone experience.
