JOB SUMMARY:

The primary responsibility of the Resource Coordinator is to support the Resource Management team with coordinating resourcing (overall utilization) for all their assigned capabilities across projects. This position requires that the individual be the liaison between Account, Production and Department Heads for Client Services, Creative, Media, Project Management, and Strategy as it relates to resourcing across all work for their client teams.

The Resource Coordinator also works directly with Talent to facilitate appropriate staffing across the company based on an aggregate understanding of project requirements in coordination with the Resource Manager.

Candidates MUST be located in Illinois, Texas, Colorado, or Michigan.

GENERAL RESPONSIBILITIES:

  • Manage project intake and resourcing- maintain constant knowledge and log of current and upcoming projects (existing and organic) and business development activities (including various divisions) as they relate to resourcing
  • Scheduling/Resourcing Intake lead, working with PM/Production teams and Discipline leads as well as Client Development (new business) and Account to align all current and future work with the needed role
  • Support the review of individual utilization across accounts
  • Run weekly allocations meetings with all leads and producers alongside the Resource Manager to anticipate future needs and allocate resources across current projects.
  • Direct scheduling of employees and contractors against the needed roles based on solid understandings of the needs as well as the unique strengths of those being put on the work, gaining insight from discipline leads and subject matter expertise holders throughout the company to assess talent needs where needed
  • Identifies need for freelance talent, works with Resource Manager and Talent team to validate and plan duration and skill focuses accordingly
  • Maintains communications with appropriate company and client personnel to ensure positive workflow, escalating exceptions and issues to Resource Manager as required
  • Finance and Media data entry and auditing/reporting
  • Regular and ongoing focus concentrating on Creative/Copywriting/Production/Development/Technology/Strategy and other delivery teams with oversight and mid to long term resourcing of Media/Account/PM schedule
  • Monitors staffing and resources against assigned projects to meet project deadlines and budgets.
  • Recognizes role/staff needs or project risks beyond schedule conflict has a growing awareness of common challenges or roadblocks
  • Maintain relationships with onsite teams
  • Regularly interact with the operations, finance, and production teams, acting as a liaison between these departments
Requirements:

KNOWLEDGE/SKILLS/ATTRIBUTES REQUIRED:

  • 1-2 years of proven experience in a similar role within a creative agency environment
  • Solid understanding of level of effort for production, creative, development, and strategic projects
  • Advanced MS Excel skills (examples: data tables, pivot tables, conditional formatting, forms, etc)
  • Experience with Netsuite, OpenAir, SmartSheet, Resource Management by Smartsheet, all plusses
  • Recommend process improvements for Resource Management
  • Ability to multitask effectively and deal with constant requests and changes
  • Strong problem-solving, organizational and communication skills
  • Attention to detail

  • Identify and resolve any potential resource conflicts and resolve or escalate prior to a crisis occurring

The hiring range for this discipline within our industry is $45,000 to $55,000. Where an employee is paid within this range will depend on multiple factors including, but not limited to location, years of experience, education, internal pay structure, and other contributing factors.
