Administrative Assistant and Scheduler

Full Time Days | 8AM - 4PM | Monday - Friday

The Administrative Assistant and Scheduler supports the Glenmere Assisted Living Director in planning, developing, organizing, implementing, evaluating, and performing administrative duties and procedures. Additionally, the Administrative Assistant and Scheduler provides support for the Glenmere management team & Glenmere concierge team as requested.

Requirements for a Glenmere Administrative Assistant and Scheduler:

  • Education: A.A.S. degree preferred, or 3-5 years of experience with administrative functions
  • Experience with scheduling in a health-related setting preferred.
  • Knowledge of Senior Living Communities, contracts, etc., covering business transactions preferred.
  • Must have general knowledge of computers (Microsoft Office), office machines and equipment.
  • Notary Public, preferred.
  • Must have valid state of residence driver's license.

Responsibilities for a Glenmere Administrative Assistant and Scheduler:

  • Develops and maintains a good working rapport with inter-department team members, as well as other departments within the Community, to assure that administrative services and activities are properly maintained to meet the needs of the Community.
  • Assists in the development and maintenance of an adequate filing system, including but not limited to resident files, resident veterans status, and nursing documents.
  • Ensures administrative functions are carried out promptly for an efficient operation and delegate's administrative duties to concierge staff as needed. Including maintaining resident documents as it relates to nursing and maintaining all resident & staff directories.
  • Assures that the office is maintained in a clean and safe manner and that necessary equipment, and supplies are maintained to perform required duties.
  • Performs administrative requirements such as completing necessary forms, reports, etc., and submitting to the Glenmere management team as required.
  • Assists the Glenmere director, nurse manager, and case manager with scheduling meetings, processing mail and fielding other requests as necessary.
  • Types and prepares confidential reports as directed, proof reading and correcting letters, drafts, reports, etc., for grammar, punctuation, and sentence structure.
  • Other related duties and responsibilities that may become necessary or as directed by the Glenmere Assisted Living Director, Nurse Manager, or Case Manager.
  • Maintains appropriate recordkeeping requirements of staff attendance for all in-service classes & supports the Glenmere Assisted Living Director with department policy manual.
  • Responsible for providing relief to the Concierge desk as necessary.
  • Provides information to residents and families as necessary or refers to appropriate departments or agencies.
  • Creates schedules & processes payroll for the nursing department in an accurate and timely manner. Including but not limited to preparing & posting the monthly master staffing schedule using the master schedule, department guidelines & nursing management input.
  • Receives and records call-ins.
  • Maintains time & pay records and provides various reports as requested by Glenmere Director.
  • Responds to questions from nursing staff on scheduling & time off procedures. Refers staff to Nurse Manager/Glenmere Director for concerns outside of the standard procedures.
  • Assists in developing & updating nursing department forms & memos concerning scheduling & payroll (i.e. time off & holidays).
