Job Title: Office Assistant NJ

Location: Piscataway, NJ

Reports to: Operations Manager and Office Manager/Controller (Headquarters)

Job Summary:

Frensco Building Products with headquarters in Woodside, NY is opening its second location in Piscataway, NJ. We are a Wholesale Building Materials Distributor seeking a responsible, reliable and punctual full-time Office Assistant. The Office Assistant will play a critical role in providing administrative, strategic and clerical support on tasks that aid the daily business operations of the company. To best support the company’s overall business goals, the day-to-day tasks will include overseeing light bookkeeping and maintaining/organizing the company’s human resources documents. The Office Assistant serves as a helpful point of contact for our clients, vendors and teammates.

The Offices Assistant will be expected to develop and implement systems and procedures to maximize efficiency for the entire workspace. Due to the flexibility in responsibilities, the Office Assistant will fill multiple roles (i.e., Sales, Purchasing, etc.) within the organization during employee’s sickness, personal and vacation leave.

Office Assistant Responsibilities & Duties:

  • Oversee the day-to-day administrative functions.
  • Assist in the upkeep of online records and building database systems.
  • Maintain efficient and highly organized filing systems for client information.
  • Maintains absolute confidentiality regarding all people served and personnel records.
  • Provide callers with information such as company address, directions to the company locations, company fax numbers, company website and other related information.
  • Receive, sort and forward incoming mail.
  • Coordinate the pick-up and delivery of regular and express mail services (USPS, FedEx, UPS, etc.).
  • Assist in the ordering, receiving, stocking and distribution of office supplies.
  • Assist with other related clerical duties such as photocopying, faxing, filing and collating.
  • Develop and maintain office procedures while assisting with administrative tasks.
  • Answer general phone calls and direct them accordingly.
  • Assist with other projects as needed and general administrative duties as required.

The Office Assistant must work closely with Sales, Warehouse and Headquarters Departments.

Office Assistant Qualifications & Requirements:

  • Prior experience with Warehouse Management Systems (WMS) and Enterprise Resource Planning Systems (ERP)
  • Proficient computer literacy (i.e., MS Office, Excel, PowerPoint, etc.)
  • Superior verbal, written communication, and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • Excellent analytical, quick decision-making, and problem-solving skills
  • Must be able to multitask.

Education and Experience:

  • Associate degree from a two-year college or university preferred.
  • Experience in administrative duties required.

Job Type: Full-time

Pay: $18.00 - $20.00 per hour

Expected hours: 40 per week
