Food Bank of the Rockies is Hiring an Executive Marketing Assistant Near Denver, CO

 
 
 

Overview:

Food Bank of the Rockies’ Executive Marketing Assistant to the Chief Marketing Officer provides essential support to the Chief Marketing Officer and the Marketing and Communications Department in a fast-paced, high-achieving environment, including a broad range of responsibilities ranging from project management via Asana, drafting correspondence and invoice coding, to complex scheduling and meeting management. This role is highly independent and requires a high degree of independent judgment, thoughtful decision-making, initiative, attention to detail, poise, and discretion.

Primary Responsibilities:

  • Oversees a variety of projects and initiatives as assigned by the Chief Marketing Officer
  • Assist the Chief Marketing Officer and the Marketing department with meeting scheduling and set-up, contact management, meeting preparation (including technology prep, ordering food when needed, and room clean-up), follow-up, and special projects
  • Provide support to the Chief Marketing Officer with various budget and finance tasks, including budget preparation and analysis, quarterly budget assessments, invoice processing, and expense reporting
  • Effectively communicate and coordinate with internal departments regarding Marketing needs
  • Coordinate with print vendors to ensure specifications and timing of various collateral print and mail items are met; deliver print collateral to the appropriate departments and re-order items as needed
  • Ensure timely review and response of correspondence with internal departments, vendors, and media for the Chief Marketing Officer
  • Identify best practices and strategies to maintain and improve the efficiency of the Marketing Department
  • Manage various staff awards, cards, gifts, and meals/treats to honor staff achievements, life events, and employment recognition
  • Assist in scheduling, corresponding, and vetting of candidates for open Marketing positions
  • Coordinate and book Chief Marketing Officer business-related travel 
  • Event planning for Marketing and staff functions as assigned, including acquisition of vendors and volunteers, and execution of event timelines in coordination with other divisions
  • Drafting of various presentations as requested
  • Maintain strong working knowledge of the daily operations of Food Bank of the Rockies

  • Ability to look ahead and be proactive – foreseeing, planning for, and recommending multiple layers of next steps to ensure smooth functioning of, and communications with internal departments, vendors, media, and other groups and individuals involving the Chief Marketing Officer

Required Qualifications: 

  • High School Diploma required; Bachelors’ Degree preferred, or equivalent work experience
  • Minimum five years’ previous administrative assistant experience supporting one or more executives; prior experience as Executive Assistant to VP or C-level executive highly preferred
  • Non-profit experience a plus
  • Asana experience preferred
  • High proficiency with computers and technology; ability to quickly adapt to new programs a must
  • Experience with Microsoft Office suite including Word, Excel, and PowerPoint; Concur experience a plus

Expected Hours of Work: 

This is a full-time, non-exempt position. This position will have a hybrid schedule with the ability to work 1 day remotely. Willingness to check and respond to emails and texts outside of working hours required (generally for urgent scheduling issues rather than ordinary business correspondence). 

Classification: Non-Exempt, full-time

Reports To: Chief Marketing Officer

Location: Denver

Compensation: $25.00/hour
