Description

Position Overview:

The Executive Assistant & Franchise Development Coordinator supports both the executive leadership and franchise development team at Five Star Franchising and Five Star brands. This hybrid role provides essential administrative support to ensure seamless operations and efficient workflow across department and team objectives. The role involves working closely with franchise development leadership, marketing and sales teams, as well as other departments such as legal and accounting.

Requirements

Franchise Development Support:

  • Work closely with franchise development teams to support franchise broker network engagement and administration including agreement and amendment coordination and tracking, external listing updates, events, and other broker network-related tasks.
  • Provide administrative support on franchise development events, including event registration, coordination, travel arrangements, calendar management, and associated communication and tasks.
  • Support the franchise development department with data entry, data management, reporting, and tracking across all brands.
  • Coordinate and assist franchise development teams with Meet The Team and Confirmation Day event agendas, communication, and related support.
  • Assist with franchise resales efforts and maintain, track, and update franchise resale lists across all brands.
  • Collaborate with finance, accounting, and franchise development teams to ensure accurate tracking and reporting of department expenses.

Executive Support:

  • Provide administrative support to the CEO, COO, CGO including calendar management, meeting coordination, and travel arrangements.
  • Handle general administrative tasks such as document preparation, correspondence, and data entry.
  • Successfully communicate and work with franchise development teams, brand teams, internal departments, and external contacts to perform responsibilities.
  • Event planning support of our annual HSS Conference

Relevant Skills & Qualifications:

  • Strong organizational, problem-solving, and time-management abilities.
  • Excellent written and verbal communication skills.
  • Proven ability to handle multiple tasks by prioritizing and meeting deadlines in a fast-paced environment.
  • Ability to uphold standards of complete discretion and confidentiality.

  • Proficiency in Google Suite and/or Microsoft Office 365.

Education & Experience:

  • 5-10 years of full-time executive assistant experience supporting C-level executive(s), including report management, scheduling, and coordination of events and materials in a fast-paced environment.
  • B2B and/or B2C, franchising, and/or franchise development experience preferred.
  • HubSpot background is a huge bonus.
