POSITION SUMMARY

The Benefits Supervisor is responsible for overseeing employee benefits programs, wellness activities and workers compensation administration across the FREE Network. The Benefits Supervisor is the primary point of contact for benefits vendors, assists employees with enrollment and coverage questions, and ensures that benefits-related billing and payroll transactions are timely and accurate.

Responsibilities

DUTIES, RESPONSIBILITIES, AND ESSENTIAL FUNCTIONS

  • Provides support to staff on all benefits offered including group health, dental, vision, retirement, disability and voluntary plans. This includes answering questions, providing consultations to employees upon request, tracking follow up paperwork and establishing a system to track and prompt follow up communications with employees and vendors.
  • Oversees workers compensation matters, ensuring employee and supervisor education, timely submission of claims, analysis of experience and trends and safety awareness. Collaborates with insurance administrator as necessary.
  • Serves as point of contact for benefits vendors and electronic benefits administration vendor.
  • Prepares and conducts benefits presentations at new hire orientation, open enrollment, and other times as needed.
  • Supervises the leave management specialist and ensure that leaves of absence are administered within guidelines.
  • Ensures assigned team members are fulfilling the roles and responsibilities of their positions. Provides supervision and guidance on an ongoing basis. Addresses performance issues through performance improvement or corrective action measures.
  • Works collaboratively with employee relations business partner on leaves, accommodation requests and other areas where benefits and employee relations issues may intersect.
  • Coordinates open enrollment activities ensuring that enrollments and plan changes are processed correctly by FREE and the carriers.
  • Coordinates wellness activities, benefits fairs, and other activities and events that promote FREE’s benefits and educate staff.
  • Works in the electronic benefits administration platform, assists with enrollments, COBRA, terminations, changes, beneficiaries. Within the 401K electronic platform, provides reports to payroll for 401K retirement administration.
  • Ensure new hire enrollment materials are provided and follow up communication completed on a weekly basis.
  • Provides census reports as needed to carriers.
  • Reconciles and forwards invoices for benefits products to accounting for payment.
  • Leads agency wide communications in regards of 401K limit and other updates.
  • Participates in quarterly safety committee meetings.
  • Develops and sustains a level of professionalism among team members, persons supported, vendors, and the public.
  • Ensures that all required documentation (paper and electronic) is completed /processed appropriately, in a timely manner, and meets quality and compliance thresholds.
  • Performs other duties as assigned.

  • Coordinates, supports, attends and participates in all required events/ meetings/ reviews/ committees, including ones outside of standard working hours.
  • Meets all job requirements and stays in compliance.
  • Adheres to FREE’s standard of ethical behavior as outlined in the Employee Handbook and Code of Conduct as well as applicable laws and regulations.

Responsibilities of FREE Employees in Leadership/Management Positions:

  • Ensures compliance with FREE policies, procedures, and operating standards.
  • Implements a continuous quality improvement process for department services and administrative functions.
  • Assists in the development, implementation and administration of Human Resources policies and programs including compliance with Equal Employment Opportunities and Affirmative Action Programs.

Qualifications

QUALIFICATIONS

  • Education:
    • Bachelor’s Degree required
  • Experience:
    • Experience working in Benefits, Human Resources or related field preferred
    • Supervisory experience preferred
  • Specialized Training, Licenses, Certifications:
    • Not required, training will be provided upon hire as needed
  • Knowledge, Skills, Competencies, and Abilities:
    • Must be efficient, well organized, and have excellent communication skills
  • Must possess in depth knowledge of benefits and general human resources policies, laws and guidelines
  • Proficient computer skills, familiarity with Microsoft Office Suite, especially Excel
  • Other Requirements:
    • Valid NYS Driver’s License and satisfy criteria to be a driver for FREE

WORK ENVIRONMENT

This role is performed in-person, in a standard office environment. Light travel required.

PHYSICAL REQUIREMENTS

  • Employee is required to sit, walk and stand for prolonged period of time (at least 8 hours).
  • Employee is required to effectively communicate both verbally and in writing.
  • Employee is required to operate standard office equipment such as computers, phones, photocopiers, fax and filing cabinets.
  • Employee might be required to lift/move light items.

The Pay Range for this job is $62,400 - $66,400. This range is based on what FREE reasonably believes it will pay an employee as for said position at the time of the posting. Individual compensation will ultimately be determined based on a variety of relevant factors, including, but not limited to, an individual’s experience, qualifications, longevity at FREE, geographic location, relevant skills, and other factors permitted under federal, state, and local laws.
