Job Title:Event Sales Manager

Employment Classification: Full Time, Exempt (Salary)

Reports To: General Manager

POSITION SUMMARY

The Event Sales Manager will join the team operating Fair Market and newly opened Assembly Hall, and ensure the continued success of both properties. A primary function of this role will be successfully selling and servicing events, and maintaining a reputation for excellence at both venues.

The Event Sales Manager will be instrumental in the development and implementation of standard operating procedures (SOPs) and customer relations management tools (CRMs) for the newly opened Assembly Hall. This person will have the unique opportunity to shape first impressions of a brand new venue. Additionally, the Event Sales Manager will optimize sales at the established Fair Market and ensure that both Fair Market and Assembly Hall are equally marketed to potential clients.

This role will cultivate a robust client base and work to meet sales goals by marketing Fair Market and Assembly Hall venues to potential clients for all types of events, including, but not limited to, corporate, social, meetings, conferences, weddings, festivals, markets, concerts, holiday, and community events. The Event Sales Manager will guide the client experience from sales to execution, including providing informative venue tours, preparing proposals and executing contracts, and supervising events. This role will also help ensure day-to-day venue operations run smoothly, assisting with tasks such as maintaining inventory, reporting and scheduling maintenance, coordinating with vendors, and scheduling, training, and supervising event staff.

The person in this position must have a passion for events and hospitality. They must be incredibly self-motivated and possess an exceptional problem-solving and organizational skill set. Excellent written and verbal communication skills are an absolute must. This person should excel at working independently and confidently manage changes to priorities, and also work well with others on a team. They must value professionalism, display confidence and ethical leadership, and have the ability to resolve conflict with compassion. An Events Sales Manager must maintain a thorough understanding of company policies and hold all staff to the company’s standards. The Events Sales Manager will actively contribute to the company’s culture, values, and reputation in the public eye and with all staff, guests, vendors and partners.

QUALIFICATIONS & EXPERIENCE

  • 4-year College Degree preferred
  • At least three (3) years combined related experience in hospitality, events, and sales at a management level
  • Excellent written and verbal communication skills
  • Strong critical thinking, problem-solving, and analysis
  • Ethical conduct and professional demeanor
  • Exceptional organizational skills and attention to detail
  • Proven ability to manage multiple priorities and move tasks/projects to completion in a fast-paced environment
  • Willingness to handle requests large and small with a positive attitude
  • Ability to create documents in MSExcel and MSWord
  • Proficient in Tripleseat & Google Business Suite
  • Ability to understand and quickly learn other computer programs (i.e. Asana, Prismm)
  • Graphic Design experience with Adobe InDesign/Illustrator a huge plus
  • Budget and Inventory management: COGS, margins, budgets, reporting and excel formulas
  • Ability to apply concepts of math including addition, subtraction, multiplication, division and algebra, using whole numbers, common fractions, and decimals

KEY RESPONSIBILITIES

  • Represent the venues to the public and all prospective clients
  • Attend networking events to market the venues
  • Cultivate a robust client base through a variety of marketing practices and sales strategies
  • Respond in timely manner to all leads/RFPs and other sources of potential business opportunities for the venues when requested
  • Meet with potential clients to offer event services and provide tours of both venues
  • Accurately prepare proposals for prospective clients
  • Conduct site visits with clients, planners, and vendors to assist with planning events once booked
  • Coordinate services, staff and location with necessary vendors and property departments to ensure event success
  • Supervise confirmed events, start to finish when necessary
  • Work to meet quarterly and annual sales goals set by management team
  • Effectively organize all client accounts, manage contracts and associated billing
  • Accurate adherence to event billing procedures, ensuring revenue is collected properly
  • Respond to internal and external contacts for information in a professional and timely manner
  • Liaise with marketing team on promotions, marketing opportunities, and social media presence
  • File any necessary permits required for each event and ensure each event follows local regulations and all venue policies
  • Assist with hiring, onboarding, training, and directly manage event staff employees
  • Schedule event staff and assign duties and responsibilities in accordance with work requirements
  • Outsource additional labor for functions when necessary
  • Demonstrate a working understanding of labor cost control through effective scheduling and proactive schedule management
  • Utilize office systems consistently to maintain accurate, up to date information for all business contacts
  • Prepare and distribute internal/external correspondence, contracts, event schedules, staff schedules, reports and other documents in an accurate and timely manner
  • Keep all Departments informed regarding the needs and requirements of events taking place on the property
  • Demonstrate thorough knowledge of operational standards at all times
  • Develop, implement and perfect standard operating procedures when needed to ensure the property runs smoothly
  • Maintain fluent knowledge of other venues, local restaurants, special events, city attractions, amenities and directions
  • Manage office and venue supply inventory and ordering as needed
  • Assist Accounting and GM with monthly reconciliations
  • Assist management team with budget development, including revenue/expense projections
  • Generate revenue reports and provide expenses analysis when requested
  • Ensure open lines of communication with staff, all departments and upper management via Asana, email, logbooks, meetings, etc, to ensure all needs of the property are met
  • Maintain a high level of cleanliness and safety, and awareness of safety issues throughout the property
  • Swiftly report maintenance needs and schedule repairs with approved vendors
  • Keep abreast of safety and emergency procedures and OSHA requirements
  • Plan personal work schedule, prioritizing work tasks and responsibilities to ensure goals are met
  • Attend relevant meetings
  • Special projects as assigned by GM

Based upon fluctuating demands of the operation and in order to exceed expectations, it may be necessary to perform a multitude of different functions not specifically related to this position. WORKING CONDITIONS

  • This role requires daytime, evening, and weekend hours on a variable schedule
  • This role is primarily an on-premise role
  • The noise level in the work environment is usually moderate
  • The person in this position may have to lift up to fifty (50) pounds on a daily basis; anything over fifty (50) pounds is considered a minimum two (2) person lift
  • The person having this position may have to sit for one (1) hour, stand and/or walk, push, kneel, bend, balance, squat, reach and stretch for eight (8) hours per day

COMPENSATION & BENEFITS

  • Salary range for this position is $60,000-$65,000 annual, less applicable taxes, and is eligible for commission
  • Benefits include health, vision, and dental insurance. The company also provides a Paid Time Off program, complimentary parking, monthly cell phone allowance, and company laptop
