Position Summary:

We are seeking an Executive Assistant with great communication and organizational skills to accomplish time sensitive tasks and projects on behalf of the CEO & Co-Founder.

General Responsibilities:

· Manage projects from conception to completion, ensuring that the project is completed on time and within budget

· Develop strategies to improve project effectiveness and efficiency

· Create and maintain project plans, Gantt charts, and other related project documents

· Track and manage deadlines, budgets, and other project-related details • Monitor progress and update project plans as needed

· Coordinate and schedule meetings and other events for the CEO

· Analyze reports to identify discrepancies and develop solutions • Create and maintain filing systems to ensure easy access to project documents • Provide administrative support to the CEO as needed

· Foundations: Be the key liaison related to the CEO's involvement with ESF Dream Camp Foundation, AWB Foundation, boards and other future entities.

· Travel: Responsible for arranging detailed travel for both business and personal trips, including commercial aircraft, car service, hotel, dinners, appointments, etc. All travel arrangements are usually subject to last minute changes and several variations in itineraries.

Administrative Duties:

· Administrative Items: Assist with general administrative work such as writing, typing, mailing, copying, faxing, scanning etc.

· Telephones: Interface with outside and inside individuals relaying messages to and from Michael on a timely basis. Screen all outside calls and handle as necessary, referring to others if appropriate. Keep running log of outstanding calls.

· Mail: Sort and prioritize high volume of mail daily.

· Email: Delete spam and junk mail each day and bring Michael's attention to any emails that need to be addressed.

· Filing: Set up files for all meeting correspondence.

· Organization: Keep Michael organized with tasks and on schedule during the day.

· Archive: Help archive items in Michael's office that can be stored off-site.

· As the season changes, new jobs and duties will be added.

Requirements:

· Bachelor's degree required.

· Must have prior experience working as an Executive Assistant, preferably at the CEO or COO level.

· Able to interact with staff of all levels in a fast paced environment with a high level of professionalism and confidentiality.

· Must be flexible, pro-active, organized, resourceful and efficient.

· Excellent verbal and written communication skills.

· Strong decision making ability and attention to detail.

· Able to prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.

Report to: CEO, President, Co-Founder

Working Conditions and Physical Requirements:

    • Year-round position
    • Minimum 40 hours per week during non-peak season; minimum 45-50 hours per week during peak summer season
    • Requires extended periods of time at a computer workstation
