Position Description and Qualifications
Job Summary:
The Advancement Services Manager, reporting to the Director of Development, plays a pivotal role in advancing fundraising efforts through the management of donor data and facilitating strategic analysis. This position is responsible for maintaining data integrity within the fundraising database, providing comprehensive reporting and analysis to inform fundraising and cultivation strategies, and supporting frontline fundraisers in donor cultivation and stewardship. The Advancement Services Manager collaborates closely with various departments to ensure compliance, accuracy, and efficiency in development and outreach operations.
Key Responsibilities and Essential Functions:
- Abide by Ensworth’s Employee Handbook and Code of Conduct.

- On a daily basis, the ASM is responsible for making critical business decisions, with full accountability that involve all aspects of Advancement Services operations.
Database Management and Optimization:
- Manage and optimize the fundraising database (e.g., Blackbaud Raiser’s Edge), ensuring data integrity, security, and adherence to best practices.
- Develop and implement data policies and processes to streamline fundraising operations and ensure compliance with relevant regulations.
- Direct conversion/adjustment of critical data pertaining to new parents, graduating alumni, parents/grandparents of alumni, and board changes.
- Collaborate with the Ensworth Parent Association on OneCause database needs for the annual auction.
Reporting and Analysis:
- Drive strategic reporting and analysis to inform decision-making and identify opportunities for donor engagement and revenue growth.
- Generate lists and reports for targeted mailings, solicitations, stewardship activities, and fundraising campaigns.
- Generate and analyze reports with the Development Team to lead strategy development and execution in identifying top prospects ($100,000 ).
- Provide monthly, quarterly, year-end audit, and ad hoc reports to the Business Office.
Prospect Research and Management:
- Lead prospect research activities to identify and prioritize prospective donors, supporting moves management strategies.
- Collaborate with the Development Team to track donor stages and keep accurate and timely records of donor interactions.
- Work strategically with frontline fundraisers to track major gift fundraising efforts for the school’s top donors and prospects.
Training and Support:
- Provide training and support to frontline fundraisers on database utilization, prospect tracking, and fundraising strategies.
- Develop processes and procedures for prospect referrals, tracking, accountability, and program efficacy evaluation.
Collaboration and Compliance:
- Collaborate with cross-functional teams to ensure accurate financial data reconciliation, gift accounting, and reporting.
- Partner with the Business Office to ensure adherence to the school’s Gift Acceptance Policy and Gift Counting and Crediting Policy.
- Serve as the primary departmental contact with auditors engaged in yearly reviews.
Professional Development and Oversight:
- Stay abreast of industry best practices, emerging trends, and technological advancements in advancement services and fundraising management.
- Oversee completion of educational surveys (INDEX and DASL) and ensure compliance.
Miscellaneous:
- Perform other duties as assigned to support the overall goals and objectives of the development team and organization.
Qualifications/Experience:
- Bachelor's degree in a related field required; advanced degree preferred.
- Minimum of three to five years of experience in advancement services, fundraising operations, or database management within a nonprofit or educational institution (preferred).
- Proficiency in managing fundraising databases (e.g., Blackbaud Raiser’s Edge) and generating complex queries and reports.
- Strong understanding of nonprofit fundraising principles, donor segmentation strategies, and moves management techniques.
- Knowledge of financial accounting principles, gift processing procedures, and regulatory requirements governing charitable giving.
- Excellent analytical skills with the ability to interpret data, identify trends, and communicate actionable insights to stakeholders.
- Exceptional attention to detail and organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
- Strong interpersonal skills and the ability to collaborate effectively with colleagues, donors, volunteers, and external partners.
- Proficiency in Microsoft Office suite, Google Suite, and other relevant software applications.
- Commitment to the mission, values, and goals of the organization, with a passion for advancing philanthropic initiatives.
- Continued Education Programs (as required by Grade Level and/or position) – Periodically participate in different training sessions identified by you, the employee and/or Divisional Leadership/Supervisor with the goal of keeping our teachers and staff up to date with current teaching methods, practices and any new knowledge in their respective field. Depending on the program, such training may need to take place outside of normal working hours and/or in the summer months.
Physical Requirements and Work Environment:
- Regularly works in standard office or classroom conditions and climate; occasionally works outdoors in varying weather conditions and climate
- Regularly uses close vision and works at a computer screen for extended periods of time
- Ability to occasionally move items weighing up to 30 lbs. across the campuses/office
- Works in a stressful environment, effectively dealing with a wide variety of challenges, deadlines, and a varied and diverse array of contacts; frequently requires the stamina to maintain attention to detail despite interruptions
- Ability to regularly work flexible hours to meet monthly, quarterly, and annual deadlines and to support before and after-school or weekend activities
- Ensworth requires employees to be physically present on campus, with limited exceptions that are at the sole discretion of the School. Under extraordinary circumstances, some or all of the workforce may be required to move to a remote working environment. Additionally, certain individuals may also be approved for limited remote work, based on the nature of the job description, specific circumstances, and only with written prior approval by a direct supervisor.
