About This Role

The Benefits Coordinator will perform administrative tasks and services to confidentially maintain accurate records for all employees in compliance with state and federal laws. With a focus towards Benefits Administration, the Benefits Coordinator will work with the Payroll & Benefits Specialist to maintain correct data entry into the HCM system and assist with special reports and various projects as needed. This role provides focused benefits administrative support with additional assistance provided to the payroll function when needed. This role supports the human resource function including record-keeping, file maintenance, and HCM data entry.

Key Responsibilities

  • Maintain data in HCM system necessary to facilitate reporting requirements and satisfy vendor file feeds
  • Audit and process payments for all benefit vendor invoices in a timely manner
  • Initiate and manage COBRA events, enrollment, and receipt of payment on premiums
  • Upload all applicable vendor eligibility feeds on a regular, routine basis
  • Perform correct data entry into the HCM system, as well as secure third-party vendor sites for 401(k) and benefit coverage
  • Assist Payroll & Benefits team with the creation and filing of all compliance reporting needs (EEO-1, AAP, Vets 4212, Pay Equity Data)
  • Regularly identify 401(k) election or loan changes that need to be updated for payroll
  • Utilize payroll reporting to fund 401(k) contributions and match to 401(k) vendor each payroll cycle
  • Create Leave of Absence schedules and communicate any pay changes to payroll
  • Ensure manual reports to vendors are maintained and updated in a timely manner
  • Assist with annual Open Enrollment (reviewing plan set up, communication scheduling, enrollment auditing)
  • Assist with the creation and filing of Annual ACA 1095-C's
  • Day-to-day benefits administration
  • Serve as backup to the Payroll & Benefits team, balancing & processing payroll, compiling Family Medical Leave Act (FMLA) paperwork, etc. in the event they are not able to do so (emergencies, planned time off, etc).
  • Assist the Payroll & Benefits Specialist with the tracking and coordination of any wellness campaigns or initiatives
  • Make photocopies; mails, scans and emails documents; and performs other clerical functions
  • Ensure updated labor posters are delivered timely to each office
  • File documents into appropriate employee files
  • Assist or prepare correspondence as requested
  • Maintain confidentiality regarding sensitive employee-related topics
  • Perform other related duties as assigned

Qualifications

Education Required

  • Associates degree required, or equivalent years of experience

Computer Skills

  • Proficient with Microsoft Office Suite and Teams
  • Experience with HR Information Systems (HRIS) or Human Capital Management (HCM) Systems (ADP Workforce Now

Other Skills/Abilities or Other Qualifications

  • At least one year of related experience is required.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Working understanding of human resource principles, practices, and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a fast-paced and at times stressful environment.
  • Experience with HRIS implementation is preferred, but not required
