Job Description

The Benefits Specialist reports to the Director - Human Resources (N. America) and is responsible for employee benefits administration. This may include but not limited to the administration of all company offered benefits to include medical, dental, vision, life insurance, short- and long-term disability, various supplemental insurance and 401(k) plan, retirement plan is a shared administration with the payroll manager/401K administrator. Additionally, the Benefits Specialist ensures accurate Human Resources Information System (HRIS/HCM) data entry, maintenance, and reporting for benefits. They may also create reports and prepare documentation to support Benefit-related activities.

Responsibilities:

  • Manages Company benefits programs (e.g., education, wellbeing, enrollments, terminations, and reporting)
  • Partners with ADP for HRIS setup of benefit plans and open enrollment online session
  • Partners with Payroll to administer and submit FSA (Medical and Dependent Care Reimbursements) for employee reimbursement.
  • Administers workers compensation claims.
  • Resolves moderate to complex inquiries and problems for all employees.
  • Ensures the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information.
  • Resolve vendor reported file feed administrative errors and/or work with ADP to address file format errors [Payroll can assist].
  • Review vendor invoices/billing, code and send to payables (accounting) to process for payment [Payrolls assistance required for some vendor invoices].
  • Annual Discrimination Testing Data for Cafeteria Plan (IRS requirement) in conjunction with payroll
  • Benefits Census
  • ACA Reporting in partnership with ADP
  • Communicates with the payroll manager to determine and set up new benefit codes for pre/post tax deductions.
  • Assists with new hire orientation.
  • Performs quality checks of benefits-related data.
  • Assists employees regarding benefits claim issues and plan changes.
  • Distributes all benefits enrollment materials and determines eligibility.
  • Provide guidance, instruction to employees related to Enrollment Events and ensure required documentation provided to support qualifying enrollment change(s) outside Open Enrollment Respond to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes and other general inquiries.
  • Processes and administers all leave-of-absence requests and disability paperwork: medical, personal, disability and FMLA and timely communication status change to payroll manager.
  • Effectively interprets FMLA and ADA implications as they relate to leaves of absences/disability.
  • Navigate open enrollment.
Required Skills/Abilities
  • Extensive knowledge of employee benefits and applicable laws
  • Excellent written and verbal communication skills
  • Excellent organizational and time management skills
  • Proficient with Microsoft Office Suite or similar software
  • Experience with ADP Workforce Now or similar platform
Education and Experience

Required

  • Associate degree in HR or related field, but experience and/or other training/certification may be substituted for the education.
  • Two years' experience in HR and/or benefits administration

Preferred

  • Bachelor's degree in human resources or related field of study.
  • SHRM Certified Professional (SHRM-CP) or SHRM Senior Certified Professional (SHRM-SCP) certification credential.
  • Certified Benefits Professional [CBP]
Work Environment and Physical Requirements

This is a hybrid position. The incumbent required to report to the assigned work location. Working hours may vary and may increase during open enrollment and/or during other health related initiatives.

The nature of this position requires the employee to work in an administrative office environment. This position is administrative in nature and has no unusual physical demands. (able to lift upwards of 15 pounds at a time). Reasonable accommodations made to enable individuals with disabilities to perform the essential functions. The position may involve prolonged periods sitting at a desk and working on a computer.
