Embry A.M.E. Church is Hiring a Church Administrative Assistant (PT) Near College Park, MD
The Administrative Assistant primarily supports the office's general functioning and the pastor's administrative tasks. This person must be highly organized with close attention to detail, able to manage multiple projects with minimal supervision, and able to deliver work products, such as worship bulletins and flyers on a regular weekly schedule. Proficiency with the Office Suite, G Suite Zoom, Adobe Acrobat Pro, graphics packages such as Canva and Adobe Express, and media platforms like Facebook and YouTube, is required. The administrative assistant will have extensive interactions with members and the general public and must have excellent interpersonal skills. Principal Responsibilities:
Prepare all bulletins, digital and print
Prepare and send the weekly and monthly e-newsletters
Prepare digital assets used in worship service live streams, including graphics and video of scrolling announcements.
Keep master calendar current
Update the organization’s website and social media with current information, including, but not limited to, stream links, digital bulletin, current announcements, and other information requested by pastor or ministry leaders.
Answer emails, receive physical mail and packages, answer the phone, and forward appropriate information to the pastor, congregation council officers, and other leaders
Prepare live streams for worship services on Facebook and YouTube
Assemble annual congregation report
Maintain membership information and church donations using the church software system (Churchkeeper)
Support finance team in documenting, tracking, and reconciling donations
Maintain records and communication with outside vendors and agreements with outside groups renting space at the church
Order supplies and receive deliveries at the church
Other duties as assigned
Job Type: Part-time 20 hours per week Pay: $17.00 per hour Work Location: Hybrid - Remote and In person Administrative:
Prepare communications, including special emails or mailings, as directed by the pastor or ministerial staff.
Manage the phone calls, church emails, and daily mail for the church, pastor, staff, and ministry leads.
Direct telephone calls, mail, and visitors, with sensitivity given to emergency situations.
Create routine letters and documents as needed/requested.
Edit and prepare weekly bulletins and other documents as requested.
Prepare and maintain mailing lists and church roster.
Prepare certificates for membership and life events.
Process requests for membership transfers, withdrawals, etc.
Implements procedures to maintain church records in electronic and hard copy formats, with emphasis given to easy retrieval of information.
Input first-time visitor information from attendance cards into a database.
Prepare conference reports with input from ministry leads as needed.
Manage church calendar (paper and electronic) and event scheduling with various groups.
Coordinate ordering of office supplies.
Facilities Management Support:
Provide support for Trustee Board for the weekday operation of the church office building usage and maintenance.
Make calls for routine and emergency maintenance of the building as directed by the Trustee Board designee.
In conjunction with the Trustee Board, manage relationships with vendors and service providers, ensuring that all items are invoiced and, when applicable, deliverables are filed.
Oversees inventory and maintenance of all office equipment.
Ensures that all office equipment is kept in good condition and that other authorized users are properly trained on using the equipment.
Financial Management Support
Support the work of the Commission on Stewardship and Finance by maintaining databases of members and donors and their donations.
Record the church’s financial intake by recording contributions in Churchkeeper.
Reconcile e-giving with weekly intake records.
Reconcile special offering totals.
Prepare end-of-year statements for donors.
File invoices and receipts for church expenses.
Communications:
Coordinates information distribution with Pastors, Boards, and Ministry Teams.
Prepare weekly worship bulletin and develop or coordinate production of publications (e.g., flyers, special program bulletins).
Proofread and edit communications.
Updates and maintains the church calendar.
Serve as the point of contact with the webmaster for updates to the church website.
Knowledgeable of or willing to learn the management of social media platforms such as Facebook, Instagram, Twitter, YouTube and TikTok, Hootsuite, or other social media management tools.
