Earthjustice’s DC Regional Program works to protect community health from pollution. We use litigation, administrative advocacy, and partnership to advocate for more-protective national air quality standards, national safeguards against hazardous air pollutants, prevention of chemical disasters at industrial facilities, clean waterways, climate protection, and more, all with an eye toward advancing equity and justice. 
The Toxic Exposure and Health Program plays a vital role in Earthjustice’s mission to defend the right of all people to a healthy environment. This Program’s work focuses on addressing the many ways that people are exposed to and harmed by toxic chemicals, with a special focus on federal regulatory programs like the Toxic Substances Control Act (TSCA). The Program’s work also intersects with broader advocacy related to clean air, clean water, pesticides, drinking water, waste, climate, energy, and biodiversity.
The Legal Practice Manager is responsible for the smooth and efficient operation of the DC Regional Office (based in Washington DC) and the Toxic Exposure and Health Program (staff based in New York City, Washington DC and remote). Responsibilities include a variety of complex administrative functions and litigation/program support; hiring and onboarding new staff; facilities; and finance administrative collaboration. 
This position requires the ability to work independently with minimal supervision. The location for this role is Washington, DC and the person hired will need to reside within commuting distance from Earthjustice’s Washington, DC Office. Periodic travel to New York City may be required.
Responsibilities
Administrative or Operations Management (40%)
Facilities Management
  • Review requests for office relocations, reconfigurations, and requests for additional services and supplies; obtain supervisor approval when necessary and oversee implementation.
  • Act as liaison with DC and New York office managers, property management, building services staff, and security regarding building services and issues as needed for DC Regional office and Toxics program.
Administrative Support
  • Provide support for DC Regional and Toxics Program guests and visiting staff, including ensuring access to the building and office, and provisioning of workspace, computer, and phone.
  • Plan, schedule, and arrange logistics for office meetings, gatherings, retreats, and celebrations.
  • Assist DC and Toxics staff in arranging for use of conference rooms and equipment.
  • Maintain contact lists for current and former staff, office extensions lists, and case codes lists.
  • Make travel arrangements for staff on request.
  • Handle other administrative matters as assigned and as needed.
Human Resources 
  • Compile new hire welcome materials and provide new employee training and orientation to new staff and interns.
  • Assist with hiring on request (including for permanent staff, interns, and clerks), help coordinating with human resources, reviewing applications, establishing hiring committees, and scheduling and participating in interviews.
  • Oversee departing staff, interns, and volunteers to ensure necessary paperwork is in order.
  • Train new staff on timekeeping; review and submit monthly time reports to headquarters; compile and format time reports.
  • Review and approve staff bi-monthly timecards; identify any overtime calculation errors for finance and human resources.
  • Act as a liaison on administrative matters with Operations Department and other Earthjustice departments; provide instruction and guidance to employees on Earthjustice administrative policies and procedures.
 Information Technology
  • Coordinate with IT staff to ensure smooth roll-out of new or updated equipment and software, and to decommission and recycle old equipment.
  • Provide local technical support for computers and peripherals, network equipment and connections, phone videoconference systems, projectors, and office equipment; coordinate with IT staff and outside vendors as needed to resolve issues.
  • Coordinate set up of computer and phone for new staff, interns, and volunteers, and coordinate with IT to configure new network accounts.
  • Monitor IT equipment and software to ensure sufficient coverage for all staff, interns, volunteers, and visitors; submit and track requests for new computers and equipment; ensure existing equipment is in good working condition and coordinate replacement as needed.
Financial Management (25%)
  • Manage accounts payable and client billing.
  • Manage vendors.
  • Process employee expense reimbursements.
  • Monitor, review and approve payment of expenses billed to office credit cards.
  • Track and submit donated time and discounted services for audit purposes.
  • Assist Managing Attorneys and litigation Vice President with budget development and reforecasting, coordinate with outside staff and departments as needed; track spending in accordance with approved budget.

Litigation and Program Support (35%):

  • Partner with the Managing Attorneys and/or other staff to identify gaps, solve problems, evolve the efficiency and effectiveness of litigation support, and institute and implement best practices in the face of changing technology, norms, and rules.
  • Assist in implementation and deployment of document management systems, and adoption of good document management practices.
  • Provide support for litigation and advocacy work as needed, such as providing backup assistance on legal document preparation and management, organizing information for advocacy events, handling logistics for expert travel and presentations, and planning events with partners.
  • Recommend and help inform document policies, procedures, systems, Earthjustice process improvement and change management by serving on project teams or committees.
  • Advance a learning culture by acting as an informal mentor or advisor. 
  • Help ensure the advancement of Earthjustice’s diversity, equity, and inclusion goals and values.
  • Promote a respectful and inclusive work environment for the team and model respectful and inclusive behavior. 
  • Communicate regularly with the team and encourage staff to raise concerns and to provide ongoing feedback.
  • Facilitate staff engagement with one another to strengthen teamwork, interaction, and collaboration. Create, identify, or participate in strategic opportunities for team building.
  • Other tasks as assigned and as needed.
Qualifications:
  • 5 years of experience in a professional office management position; understanding and experience with a multi-site organizational structure preferred.
  • Bachelor’s degree or equivalent years’ experience.
  • Legal experience desired.
  • Understanding of and comfort with accounting and budgeting systems.
  • Understanding of and comfort with information technology hardware and systems.
  • Proven track record of successfully meeting organizational goals and deadlines.
  • A non-profit background is a plus.
  • Ability to work independently to identify, analyze, and complete tasks.
  • Excellent organizational, problem-solving skills, and verbal and written communication skills.
  • Excellent attention to detail and ability to manage complex information.
  • Ability to handle a varied workload and prioritize as needed.
  • Awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.
  • Excellent management skills, including the ability to foster effective communication, collaboration, decision-making, and mutual respect.
  • Familiarity with environmental and social justice issues is preferred.
  • Demonstrated awareness of and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.
  • Ability and desire to contribute to the creation of a diverse, equitable, and inclusive work culture that encourages and celebrates differences.
