Duquesne University is Hiring an Administrative Assistant II – Intercollegiate Athletics Near Pittsburgh, PA

The position of Administrative Assistant II will provide direct administrative support to the Vice President of Athletics, along with supporting the entire department with general secretarial and clerical responsibilities. Performance of complex office duties requiring independent judgment and an ability to work with multiple computer programs utilized in a higher education is essential.


DUTIES AND RESPONSIBILITIES:

Assists with management of Vice President of Athletics calendar, including scheduling weekly and monthly recurring meetings, in addition to securing any necessary meeting places as directed

Manages the Department’s office; handles correspondence, screens telephone calls and electronic communications and supervises 1-2 department student aides

Completes/reconciles both credit card and report of business expense forms for multiple users in the Department on a timely basis ensuring all University reporting requirements are satisfied

Manages departmental payroll time entry and vacation/compensatory time tracking, including managing the collection of and inputting time sheets into our system to prepare for final approvals from business office

Responsible for managing, inventorying and ordering of all office supplies between multiple buildings that comprise the Department of Athletics

Coordinates and inputs all facility-based maintenance requests that relate to the Department of Athletics

Serves as a liaison between the Department and other DU offices on campus, vendors and business groups that exist outside the University, but directly support Departmental operations

Records all meeting minutes of regular staff meetings or at the request of the Vice President of Athletics/any senior members of the leadership group

Performs other related job duties as assigned by the Vice President of Athletics/Associate Athletic Director/CFO or at the request of other members of the Department ranging from senior leadership staff, head and/or assistant coaches, etc.

Completes other duties as assigned.


REQUIREMENTS:

Minimum qualifications:

Associate’s Degree from an accredited institution and 3-5 years of experience in a related role.
Proficient in Microsoft Office applications, most specifically Word, Excel and PowerPoint.
Demonstrates proficiency with regard to organizational skills.
Familiarity with standard office equipment such as computers, fax, printers, copiers, and multi-line phone systems.
Excellent communicator with a strong customer service ability to interact with stakeholders both internally and externally.
Timeliness with assigned tasks and able to prioritize.
Adaptability in a fast-moving, quick-changing environment is critical to success.
Self-motivated and able to perform work with minimal supervision and execute at a high level.
Preferred qualifications:

Bachelor’s Degree from an accredited institution.
Experience in a collegiate Athletics department.
