Duquesne University is Hiring an Assistant to the Vice President - Marketing and Communications Near Pittsburgh, PA

The Assistant to the Vice President supports the Vice President in logistical matters necessary to run the division and to interact with fellow Cabinet-level offices. In addition to managing the VP’s calendar and some routine correspondence, the Assistant to the VP ensures timely collection and reporting of relevant data to support the Division of Marketing and Communications (DMC) strategic plan and supports general office operations. The Assistant to the VP postion requires strong organizational and communication skills and handles a high degree of confidential, sensitive information and must exercise discretion, sound judgment and solid decision-making.
DUTIES AND RESPONSIBILITIES:
Manages the VP’s calendar; drafts, edist and issues official correspondence; assembles meeting agendas and produces meeting minutes and reports; plan divisional events; and manage division messaging.
Oversees the maintenance of a divisional data bank, taking direction from DMC Leadership Team managers. Ensure consistency of terms and tagging, timely updating, and pertinent report-outs.
Maintains records for and track sick, FMLA and vacation leave for the division and assist with payroll.
Proofreads DU Times, Official Communications, and select media advisories.

Route calls and inquiries.
Completes other duties as assigned.


REQUIREMENTS:

Minimum qualifications:
Bachelor’s degree in communications, marketing, business, English or related field from an accredited institution and minimum of 5 years’ experience in a similar professional or executive assistant role.
Strong MS Office Suite skills are required, and some CMS experience desired.
Excellent communication skills (written and verbal) required.
Experience operating with the highest level of confidentiality at all times and strong working experience with calendar management, travel arrangements, meeting preparation and logistics.
Experience interacting with executive leadership, particularly in an academic or knowledge-rich environment, highly desired.
Experience with Microsoft Teams or another collaborative virtual workspace software is required.
Preferred qualifications:
Experience supporting C-level preferred.
A preference for proofing and editorial experience.
Alternately, the successful candidate may possess any equivalent combination of experience and training, which provides the knowledge, skills and abilities required to perform the essential job functions. This includes, but is not limited to, the following:
Excellent calendar management and event/meeting planning skills required.
Excellent written and oral communication skills required, with an emphasis on diplomacy and tact.
Excellent ability to maintain confidentiality.
Strong collaboration, interpersonal communication, and problem- solving skills required.
Strong data entry, management, and reporting skills required.
Strong ability to synthesize and prioritize information and tasks for leadership desired.
Proficiency with CMS software desired.
Knowledge of marketing and communications office trends preferred.
